We are seeking a proactive Appointment Setter & Administrative VA to manage client communications, confirm bookings, and support day-to-day administrative operations. The ideal candidate is organized, detail-oriented, and possesses excellent English communication skills, ensuring professional and seamless interactions with clients.

Key Responsibilities:

  • Call clients who book via Facebook lead ads or landing pages to confirm appointments (hot leads)
  • Send reminder calls or messages one day before appointments
  • Reach out to past clients to share promotions, updates, and special offers
  • Make occasional cold calls during downtime to potential leads
  • Maintain accurate records of calls, confirmations, and attendance using Google Sheets or CRM tools
  • Communicate with the team about booking status, client feedback, and attendance
  • Respond promptly to client inquiries via phone, email, or social media
  • Manage scheduling, rescheduling, and cancellations efficiently
  • Assist with light admin or social media tasks during downtime

Mandatory Skills & Qualities:

  • Excellent English communication — clear, polite, and warm
  • Strong interpersonal and persuasion skills for friendly booking confirmations
  • Highly organized and dependable
  • Professional, empathetic demeanor, especially with clients aged 40–60
  • Attention to detail for accurate client data recording
  • Reliable internet connection and quiet workspace
  • Availability during client business hours

Preferred Skills:

  • Experience in telemarketing, appointment setting, or customer support (clinic, beauty, or wellness preferred)
  • Familiarity with CRM or booking platforms
  • Experience with North American clients
  • Ability to manage multiple tasks while maintaining high service quality
