JOB DESCRIPTION

The Administrative Officer IV shall be responsible for validating transactions and processing service fee payments, assisting in Division activities and stakeholder engagements, drafting and updating Memorandum of Agreements, guidelines, and manuals, monitoring policy compliance, preparing reports and communications, and providing technical assistance on grants management and related concerns.

Functions and Responsibilities:

1. Validate transactions per billing statement received from LBP and process payment of valid service fees;

2. Assist in the preparation of Proposals for activities of the Division;

3. Assist in the facilitation of activities of the Division (i.e. National Conference, Field Visit to FOs, Orientations, etc.) and prepare necessary materials;

4. Assist in the facilitation of meetings related to grants management and prepare necessary materials;

5. Establish and maintain linkages with internal and external stakeholders;

6. Assist in the consolidation/drafting/updating Memorandum of Agreement, guidelines, and manuals relative to grants management;

7. Prepare communications/letters/memoranda regarding service fees, external relations, guidelines, and other matters not within the scope of other Sections, as assigned by the supervisor;

8. Monitor compliance of FO counterparts to established policies and guidelines;

9. Prepare internal and external reportorial requirements related to service fees, guidelines, compliance and engagement with stakeholders;

10. Provide technical assistance to OBSUs and FOs regarding grants management or cash cash/account-related processes;

11. Resolve / Respond to service fees payment, stakeholders' issues and concerns and other matters not within the scope of other Divisions; and

12. Perform other tasks that may be assigned by the supervisors.

4. Revised/Updated Memorandum of Agreements/Guidelines/Manuals;
