The Tax Admin Assistant plays a vital role in ensuring the seamless operation of our Tax Compliance and Advisory Services Team. This position serves as the primary point of contact for communication flow, client coordination, and billing oversight. You will act as the "air traffic controller" for the team, ensuring that no client query goes unanswered and financial trackers remain accurate and up-to-date. This role requires a high level of organization, professional communication, and a proactive approach to task management.

Responsibilities

  • Communication & SLA Management
  • Monitor all incoming and outgoing tax-related emails; acknowledge receipt promptly and forward to the designated team member.
  • Log all queries in the tracker, monitoring status until resolution. Indicate "Late Replies" and provide justifications for any breaches.
  • Ensure a 1-2 day turnaround for advisory emails; proactively inform clients if a delay is expected.
  • Maintain and update email templates to ensure professional and consistent communication.
  • Billing & Accounts Receivable (A/R)
  • Improve and manage the Tax Billing Tracker, reviewing service agreements to update fees and identify unbilled items.
  • Review monthly A/R aging reports from the Finance team and send follow-up notices for payments outstanding over 60 days.
  • Learn the process for clients with saved accounts; request payment approvals and raise finance tickets as needed.
  • Tax & General Administration
  • Support tax preparers with specialized assignments and handle simple tax tasks as capacity allows.
  • Maintain strict confidentiality regarding sensitive financial data and adhere to all internal compliance standards.
  • Manage the team's shared GMail and project trackers to provide real-time status updates for the team.

Qualifications

  • Experience in an administrative support role, preferably within a tax, accounting, or professional services environment.
  • Proficiency in Google Workspace (Gmail, Sheets, Drive) and experience with AI tools/software.
  • Familiarity with billing processes and A/R; experience with is a significant advantage.
  • Exceptional written and verbal communication skills with a focus on client service excellence.
  • Excellent time management skills and the ability to prioritize work.
  • Ability to work independently and adapt to shifting priorities in a fast-paced, remote setup
  • Ability to manage multiple client trackers simultaneously without losing track of deadlines.
  • Precision in updating billing trackers and identifying "unbilled" services versus service agreements.
  • Ability to follow up with team members and clients without needing constant reminders.
  • High level of professionalism and the ability to handle sensitive tax and financial information with discretion.
