Job Summary
The Division Order Specialist supports the accurate setup and transfer of mineral and royalty interests to ensure timely and correct payments from oil and gas operators. This role serves as a key liaison between internal teams and external operating companies, managing documentation, communication, and tracking related to ownership changes and payment eligibility. The ideal candidate is highly detail-oriented, organized, and confident communicating professionally via email and phone.
Duties and Responsibilities
- Coordinate with oil and gas operating companies to establish or update division orders for newly acquired mineral and royalty interests.
- Prepare, submit, and track required documentation such as deeds, probate records, ownership changes, and address updates.
- Communicate primarily via email, with periodic phone calls, to follow up on status, resolve questions, and advance payment eligibility.
- Maintain detailed logs and timelines of all correspondence, filings, and activities using spreadsheets or CRM systems.
- Manage multiple assets and counterparties simultaneously while ensuring deadlines and procedural requirements are met.
- Collaborate internally with acquisitions, accounting, and asset management teams to ensure accurate ownership records.
- Follow established procedures while proactively identifying missing information or delays that could impact payment.
- Support process improvements related to documentation tracking, communication workflows, and data accuracy.
Required Skills and Abilities
- Strong written and verbal English communication skills, with confidence speaking by phone when needed.
- High attention to detail and ability to manage structured, document-heavy processes.
- Experience in customer service, operations support, administrative coordination, or data-driven roles.
- Ability to manage multiple workstreams and maintain accurate tracking across systems.
- Professional, courteous, and solution-oriented communication style with external stakeholders.
- Comfortable working with spreadsheets, databases, or CRM tools.
- Ability to follow defined procedures while working independently in a remote environment.
Preferred Qualifications
- Background in oil and gas, land administration, title, owner relations, or mineral rights.
- Experience reviewing legal documents (e.g., deeds, probate, contracts).
- Paralegal, legal assistant, or compliance support experience.
- Exposure to data analysis, reporting, or structured record management.
