Job Description:

  • Prepare purchase orders and send copies to suppliers and to departments originating requests.
  • Monitor inventory quantities if sufficient for needs, at critical level or at point of ordering level and initiate the material request for stock when necessary.
  • Respond to customer (Site Managers) and supplier inquiries about order status, changes, or cancellations.
  • Perform buying duties when necessary.
  • Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.
  • Receives and prepare requisition orders from Site Managers before mobilization.
  • Prepare, maintain, and review purchasing files, reports and price lists.
  • Compare prices, specifications, and delivery dates/ options in order to determine the best bid among potential local suppliers.
  • Tracking the status of orders from suppliers
  • Calculate costs of orders, and charge or forward invoices to appropriate accounts.
  • Coordinate and process pick-up and release of items ordered from overseas from courier/ broker.
  • Research for suppliers, using sources such as catalogs and the internet, and interview them to gather information about products to be ordered.
  • Maintain knowledge of all organizational and governmental rules affecting purchases and release of goods from Customs and provide this information to Management.
  • Release and monitor in-house inventory movement and complete inventory transfer forms for bookkeeping purposes.
