Position Summary:

The Assistant Supervisor for the PCP Warehouse Department plays a crucial role in overseeing warehouse operations, ensuring efficient inventory management, and fostering a productive and motivated team. This position requires maintaining accurate inventory records, leading team development, and ensuring that all activities align with organizational goals and standards.

Scope and Responsibilities:

Warehouse and Inventory Management


• Lead the process of receiving, storing, and dispatching goods, ensuring accurate documentation of all inventory movements.


• Conduct regular inventory audits to verify stock levels, identify discrepancies, and implement corrective actions to prevent stock shortages or overages.


• Develop and implement procedures to enhance inventory accuracy and streamline warehouse operations.


• Ensure proper handling, storage, and labeling of inventory to maintain product integrity and traceability.


• Oversee daily warehouse activities, ensuring that tasks are completed efficiently and in compliance with company policies and procedures.


• Conduct daily team meetings to review performance, share important updates, and address any operational challenges.


• Collaborate with other departments, such as Production and Procurement, to ensure seamless integration of warehouse activities with overall business operations.


• Monitor warehouse conditions, ensuring a safe, organized, and clean work environment that complies with health and safety regulations.


• Ensure all warehouse transactions, including receiving, storage, and dispatch, are accurately recorded in the inventory management system.


• Prepare detailed reports on inventory levels, discrepancies, and operational performance for review by senior management.


• Maintain comprehensive documentation of warehouse procedures, training records, and safety compliance to support audits and continuous improvement efforts.

Leadership and Team Development


• Communicate clear job expectations, performance standards, and company objectives to the team.


• Organize and facilitate training programs to improve employee competencies, ensuring that staff are well-equipped to handle their responsibilities.


• Provide ongoing coaching and mentorship to team members, fostering a culture of continuous improvement and accountability.


• Conduct regular performance evaluations, offering feedback and creating development plans to enhance team and individual performance.


• Lead by example in promoting teamwork, professionalism, and adherence to safety standards.


• Foster a positive work environment by recognizing and rewarding employee achievements, addressing concerns, and promoting open communication.


• Implement strategies to motivate employees to achieve departmental goals, including productivity, accuracy, and teamwork.

Other Related Tasks


• Perform additional duties as assigned to support the PCP team and ensure efficient operations.


• Assist with special projects or initiatives related to PCP team as needed.

Skills

  1. Proven ability to lead, motivate, and develop a team, fostering a collaborative and high-performing work environment.

  2. Strong knowledge of inventory control processes, including stocktaking, discrepancy resolution, and inventory optimization.

  3. Excellent verbal and written communication skills, with the ability to clearly convey expectations and provide constructive feedback.

  4. Ability to manage multiple tasks, prioritize effectively, and resolve operational issues efficiently.

  5. Competence in using inventory management systems, warehouse software, and MS Office applications, particularly Excel.

  6. Familiarity with warehouse safety regulations and best practices, ensuring a safe and compliant work environment.

Qualifications:


• Bachelor's degree in Industrial Engineering, Business Administration, Supply Chain Management, or a related field.


• A minimum of 2-3 years of experience in warehouse operations, logistics, or supply chain management, with a strong understanding of inventory control processes.


• Previous experience in a supervisory or team lead role, demonstrating the ability to manage, motivate, and develop a diverse team of employees.


• Hands-on experience with inventory management systems and tools, including conducting stock audits, reconciling discrepancies, and implementing inventory best practices.


• Proven track record of identifying operational inefficiencies and successfully implementing process improvements to enhance productivity and accuracy.


• Experience in organizing and conducting training sessions for staff, facilitating skill development, and promoting a culture of continuous learning.


• Experience working collaboratively with other departments, such as procurement, production, and quality assurance, to ensure seamless warehouse operations and support business objectives.


• Familiarity with warehouse safety regulations and practices, with experience in promoting and maintaining a safe working environment for all employees.
