Tasks and Responsibilities
Pricing
- Ensure that vendor price lists are received regularly and update/remove products in the ERP system (accounting and stock management).
- Update pricing for USD vendors in the system when exchange rates change.
Stock Management
- Review stock in all warehouses on a daily basis, controlling stock levels to meet supply and demand using ERP reporting and forecasts prepared with business and product managers.
- Prepare and review stock plans across warehouses nationwide to maintain optimal levels, ensuring continuous supply.
- Work with product managers on stock strategy per brand. Ensure stock is ordered at the right time and accounts for delivery lead times to prevent stockouts.
- Manage stock over 90 days – work with vendors to obtain RMA numbers for faulty, discontinued, and stock balancing rotations.
- Process customer return requests and submit them to vendors.
- Work with vendors to ensure satisfaction with order placement and resolve any issues or obstacles.
- Track vendor orders and shipments, entering information into the system to ensure accurate ETAs are communicated internally and externally.
- Negotiate delivery terms and pricing with freight forwarders to optimize service and cost. Ensure freight pricing is within required levels, both in dollar value and as a percentage of stock value.
- Work with the Finance Department on reconciliation of invoices from suppliers and freight forwarders, issuing correct instructions to ensure accurate system reconciliation.
Sales
- Support the Sales team nationally with their enquiries.
- Provide quoting assistance when required.
- Provide ongoing ETA information and updates on product availability.
- Deliver customer service as needed.
Contract Management
- Understand contract terms and conditions and ensure all departments are informed.
- Review contracts with freight forwarders and suppliers to optimize processes, including carton quantities, lead times, and supplier policies for better inventory supply and distribution.
Customer Service
- Manage the vendor workbench and collaborate with SBUs to resolve customer order issues by coordinating with relevant departments.
- Ensure all appropriate sales tools and information are available to the Sales and Product Teams.
Communication
- Manage operations email mailboxes.
- Communicate vendor operational changes across multiple levels.
- Keep all departments updated on the progress of enquiries in a timely manner using the relevant tools.
Other
- Take all reasonably practicable steps to maintain the health and safety of yourself and others, and minimize risks.
- Provide reporting as required for internal teams, customers, or vendors.
- Follow company policies, procedures, and reasonable instructions at all times.
