Job Summary

The Warranty Processor is responsible for preparing, reviewing, and submitting warranty claims to VinFast Philippines in accordance with manufacturer policies and dealership procedures. This role ensures the accuracy, completeness, and timely processing of all warranty-related documentation, contributing to the efficiency and profitability of the service department.


Key Responsibilities
  • Review repair orders to verify warranty eligibility and ensure all required information, labor operations, and parts are properly documented.
  • Process and submit warranty claims through VinFast's warranty system (e.g., VinFast Dealer Management System or equivalent platform).
  • Monitor, track, and follow up on claim approvals, rejections, or adjustments from VinFast Philippines.
  • Communicate with Service Advisors and Technicians to clarify repair details and ensure compliance with VinFast warranty guidelines.
  • Maintain organized records of all warranty transactions, claim status reports, and related correspondence.
  • Ensure all claims are submitted within required timelines to prevent rejection or loss of reimbursement.
  • Coordinate with the Parts Department for proper tagging, storage, and return of warranty parts as required by VinFast policy.
  • Assist in internal audits and warranty claim reconciliations.
  • Keep updated with the latest VinFast warranty bulletins, policies, and claim procedures.
  • Support the Service Manager in analyzing claim trends, warranty costs, and compliance metrics.

Qualifications
Education:
  • Graduate of Business Administration, Office Administration, or any related automotive or technical course.
Experience:
  • At least 1–2 years of experience in dealership operations, preferably in warranty processing or service administration.
  • Experience with VinFast systems, warranty programs, or EV-related processes is an advantage.
Skills:
  • Strong attention to detail and accuracy in documentation.
  • Proficient in Microsoft Office (Excel, Word) and Dealer Management Systems (DMS).
  • Knowledge of automotive service operations and technical terms (including EV components) is an advantage.
  • Good communication and coordination skills.
  • Ability to meet deadlines and work independently with minimal supervision.
