Job Description:
The Warehouse Admin will be responsible for a variety of tasks critical to the effective operation of our warehouse and supply chain functions. Key responsibilities include managing suppliers, ensuring timely and accurate stock planning, processing orders, and maintaining detailed records. This role also involves collaborating with internal teams to forecast demand, maintain optimal inventory levels, and support cost-saving initiatives.
Key Responsibilities:
1. Supplier Management:
- Identify and evaluate potential suppliers to meet business needs.
- Establish and maintain strong relationships with suppliers to ensure timely and accurate deliveries.
- Negotiate terms and conditions, including pricing, payment terms, and delivery schedules.
2. Stock Planning and Forecasting:
- Collaborate with the Inventory Management Officer to maintain optimal stock levels.
- Work with internal teams and partners to accurately forecast demand.
- Develop and implement effective stock planning strategies to prevent overstock or stockouts.
3. Order Placement:
- Receive and review stock requests from Partners to ensure accuracy in order quantities, specifications, and delivery details.
- Track and expedite orders to meet production and customer demand.
4. Cost Management:
- Negotiate and secure the best possible prices and terms for goods and services.
- Implement cost-saving initiatives without compromising on quality or service.
5. Quality Assurance:
- Ensure that purchased products meet quality standards and specifications.
- Collaborate with Warehouse Associates to address any product issues or defects.
6. Documentation and Record Keeping:
- Maintain accurate records of all transactions, including purchase orders, payment receipts, and purchase monitoring.
- Prepare and analyze reports on purchasing activities for management review.
7. Communication:
- Work closely with the Inventory Management Officer and Partners to understand their stock needs and priorities.
- Communicate effectively with suppliers to convey requirements and address any concerns.
8. Risk Management:
- Identify and mitigate potential risks related to supply chain disruptions, price fluctuations, or market changes.
- Develop contingency plans to address unforeseen challenges in the procurement process.
9. Market Research:
- Conduct market research to identify new suppliers, products, and cost-saving opportunities.
10. Continuous Improvement:
- Regularly review and improve purchasing processes for increased efficiency and cost-effectiveness.
- Identify opportunities for process improvements, cost savings, and enhanced supplier relationships.
11. Ethical Sourcing:
- Ensure that suppliers adhere to ethical and sustainable business practices.
Qualifications:
Education: at least Senior High Graduate Equivalent; a degree in Business, Supply Chain Management, or a related field is a plus.
Skills:
- Strong communication and negotiation skills.
- Excellent attention to detail and organizational skills.
- Proficient in Microsoft Office Suite (Excel, Word, etc.), with experience using warehouse management systems (WMS) or ERP systems a plus.
- Ability to work well in a fast-paced environment with a strong sense of urgency.
Other Requirements:
- Strong problem-solving abilities.
- Ability to manage multiple tasks and prioritize effectively.
- Knowledge of market trends and supplier evaluation.
- Familiarity with risk management and contingency planning.
