The Bid Coordinator supports the delivery of high-quality, client focused proposals and pursuit activities across the business. This role assists in coordinating proposal submissions, managing content, conducting client and market research, and ensuring all bid documentation aligns with brand, tone, and compliance standards.

The position sits within the broader pursuits team, which covers pursuit leadership, bid management, proposal submission, and content coordination. It's ideal for someone early in their career who enjoys balancing creative and analytical tasks and working with multiple stakeholders in a fast-paced, deadline-driven environment.

Key responsibilities:

Proposal Coordination

  • Coordinate end-to-end bid and proposal submissions, including timelines, templates, and document control.
  • Support the development of bid response documents, ensuring consistency, accuracy, and brand alignment.
  • Assist with formatting, proofreading, and quality assurance of proposal content.

Pursuit Support

  • Assist Pursuit Leads and Bid Managers with pursuit planning and opportunity tracking.
  • Support the coordination of pursuit meetings, briefings, and follow-up actions.
  • Maintain accurate records of pursuits, bids, and outcomes in the CRM or tracking system.

Client and Market Research

  • Conduct client, competitor, and market research to support tailored proposal strategies.
  • Summarise insights to assist in shaping key messages and win themes for proposals. Stakeholder Management
  • Liaise with internal stakeholders to gather input, approvals, and supporting materials for bids.
  • Manage timelines and expectations with multiple contributors to ensure on-time delivery.

Content Coordination

  • Maintain and update the central bid content library and credentials database.
  • Source and catalogue case studies, CVs, and standard materials for reuse.
  • Assist with continuous improvement of templates, tools, and processes.
