Job Summary:
Branch Secretary handles crucial administrative & documentation tasks, focusing on customer data management, ensuring loan application accuracy, managing petty cash, maintaining records, and producing reports to support branch operations and timely processing of sales. They are the backbone for record-keeping, ensuring compliance with company guidelines for both sales and finances.
Key Responsibilities:
Customer & Sales Documentation:
Verify and encode customer data accurately into the system.
- Process and ensure completeness/accuracy of motorcycle loan applications before submission.
- Generate reports and documents for order processing.
Records & Inventory:
Maintain an effective system for safe-keeping branch files and documents.
- Handle stock management, including receiving, inspecting, recording, and monitoring inventory movements.
Financial Administration:
Manage and prepare replenishment for the Petty Cash Fund (PCF) for branch expenses.
- Record daily transactions and perform routine clerical work.
Reporting & Compliance:
Produce periodic reports for management.
- Monitor system performance for efficient processing.
- Perform other duties as assigned by the Branch Manager or Head Office.
