JOB DESCRIPTION OF DUTIES & RESPONSIBILITIES :

  1. Receiving & Inspection:

  2. Receive incoming deliveries and verify quantity, item name, packaging against Purchase Orders (PR) , delivery receipts, and invoices.

  3. Inspect goods for damages, discrepancies, expiry dates or quality issues and report any variances using Incident Report Form (IR).

-Tag and label all received items according to dates.

  • Report to Admin any discrepancy on received items using Incident Report Form (IR)

  • Store orders and dispatch

  • Timely receiving of stock orders from store, preparation and dispatch going to store in NAIA T3.

  • Conducts Local Buy Outs (LBO) from suppliers, stores & etc. based on store weekly order requirement while ensuring correct quantity, quality and checking expiry of purchase of food and non-food items.

  • Upon, delivery ensure to counter check items, quantity & quality based on Stock Transfer Receipt (STR) with the receiving party.

  • Ensure to have the STR signed with name and date by the receiving person. To affirm acceptance of the items is correct and in good condition.

  • Storage & Inventory Management

  • Organize and store items in designated warehouse locations following First-In, First -Out (FIFO), First-Arrived, First-Out (FAFO), First-Expire, First-Out (FEFO) storage guidelines.

  • Conduct regular cycle counts and participate in monthly or quarterly inventory audits and encode in the inventory system showing current stock levels.

  • Ensure completeness and availability of all raw materials, food and non-food, at the warehouse.

  • Inform Office Admin of current stock level, overstock and understock or critical inventory.

  • Warehouse management

  • Keeping a clean and safe working environment establishing a pest-free equipment, storages, racks and surfaces free from possible contamination.

  • Ensure to follow warehouse racking standards ensure safe, efficient, and compliant storage systems while also optimizing space utilization

  • Making sure that the warehouse is locked at all times and only authorized personnel are allowed entry to prevent losses and theft.

  • Switching-off of equipment, lighting, and other electrical appliances that are not in use

  • Other Functions

  • Willingness to undergo cross-training at other Cafe stations.

  • Performing other tasks/side duties that may be assigned.

  • Performs other tasks, directly or indirectly related to business development technical work, as instructed by management, from time to time.

QUALIFICATIONS:

* With at least 1- 2 years work experience

* Preferably College Level or Vocational

* Detailed Oriented and Able to do Multi tasking

* Basic knowledge of warehousing procedures, stock rotation (FIFO/FEFO), and inventory control.

* Familiarity with Inventory Management Systems or basic computer literacy (Excel, Google Sheets).

* Ability to read and understand delivery receipts, POs, and inventory logs.

* Experience in retail, food service, commissary, manufacturing, or distribution environments is a plus.

* Physically fit; able to lift, carry, or move items (up to company-defined weight limits).

* Comfortable with standing, walking, and manual handling for extended hours.

* Must be willing and able to go out to purchase goods outside for other supplies.

* Must have attention to accuracy when buying items outside (correct item, quantity, specifications).

* Preferably knows basic routes and is comfortable traveling for urgent purchasing tasks.
