We are looking for multiple paralegals to support our clients in Conveyancing matter management, drafting, coordination, and operational workflow. Requires disciplined file management, strong communication, and the ability to prepare first drafts under supervision. Must have a solid Australian experience working for Conveyancing in NSW, VIC or QLD.
Key Responsibilities
Conveyancing Support:
Preparation of transfer documents, Forms 1 & 24, and other required Titles / Office documents.
Creating and managing PEXA workspaces, including liaising with all relevant parties throughout the settlement process.
Preparation and lodgement of key documents such as the Form 24 Property Information (Buyer and Seller) and transfer documents in PEXA.
Preparing Release of Mortgage requests and ensuring accurate data entry across all conveyancing platforms.
Ensuring all documents are prepared correctly and lodged within required timeframes under QLD/VIC/NSW legislative and Titles Registry requirements.
Coordinating with clients, brokers, lenders, real estate agents, conveyancers, and external stakeholders.
Monitoring critical dates, managing settlement checklists, and assisting with pre-settlement and post-settlement procedures, including searches and requisitions.
Maintaining strict confidentiality and ensuring all documentation aligns with Queensland legislation, including the Property Law Act 2023 and relevant Titles Registry procedures.
Possessing a solid understanding of the full conveyancing process in Queensland, from file opening to settlement and post-completion tasks.
Executive Assistant Duties:
Providing EA support to the Solicitor during quieter periods, including diary management, scheduling appointments, correspondence management, and general administrative assistance.
Assisting with the preparation of documents, reports, and client communications as required.
Client Communication & Relationship Building:
Demonstrating strong written and verbal communication skills.
Building and maintaining positive relationships with clients to ensure a high level of service and client satisfaction.
Acting as a professional and approachable point of contact for client enquiries.
General Administrative Support:
Assisting other legal teams where required.
Managing filing, document organisation, and general office administration tasks.
Ensuring smooth day-to-day operations and contributing to an efficient, collaborative team environment.
