Job Responsibilities

  • Responsible for planning, implementing, maintaining, controlling the system for documentation and responsible and responsible for all ISO 9001:2008 Quality System Requirements and ISO 14001:2004 Environmental Requirements.

- ISO DOCUMENTATION.

  1. They are responsible for receiving, controlling, maintaining, and distributing documents, ensuring adherence to established procedures and formats.

  2. DCC staff track and manage different versions of documents, ensuring the most current versions are readily available to the right users.

  3. They monitor document creation, review, approval, and distribution processes, ensuring that all documentation is accurate, up-to-date, and compliant with relevant standards.

  4. DCC staff maintain organized systems for storing and retrieving documents, making it easy for users to access the information they need.

  5. They work with authors and users to address any concerns about documents, facilitating reviews and making necessary changes, as needed.

  6. DCC staff may be involved in training other staff members on document control procedures.

  7. Responsible for receiving and monitoring all external documents.

  8. Check and supervise all documents in releasing, retrieving and distribution of standards and documents mentioned in Item-1 to the different sections of SGIC Department.

  9. Encoding of necessary documents such as standards, and other regulations due for establishment and / or revision. In future, to maintain the database especially designed for the Documentation Center.

  10. Responsible for checking the masterlist of documents to the latest revision monthly, and those which were abolished should also be recorded on a separate file. The update of historical record of all standard documents both for SGIC and ISO.

  11. Ensuring that the standards and documents are properly registered and controlled prior to distribution to concerned sections / groups. Latest revision should be ensured for distribution.

  12. Similarly, all the abolished documents should also be controlled and kept in the retention area designated for documents as stated in Document Control Procedure.

  13. Maintaining the orderliness of the Documentation Center through effective record management and compliance to 5S.
