Job Overview:
The Timekeeper & Compensation & Benefits (Comp & Ben) Specialist is responsible for managing the employee timekeeping system, ensuring accurate payroll processing, and supporting the administration of compensation and benefits programs. This role is key in ensuring compliance with labor laws, internal policies, and maintaining a fair and equitable compensation structure for a workforce of 300+ employees in the Philippines.
You will use Aurora HRIS to manage timekeeping, payroll, and benefits data, ensuring smooth and efficient HR operations. The ideal candidate is someone who combines attention to detail, strong knowledge of compensation and benefits, and HRIS proficiency.
Key Responsibilities:
Timekeeping & Payroll Management:
Time Tracking and Attendance:
- Oversee daily attendance and timekeeping for all employees, using Aurora HRIS for recording work hours, overtime, absences, and leaves.
- Address discrepancies in employee timesheets by coordinating with department heads and employees.
- Ensure accurate recording of vacation, sick leave, holiday pay, and other leave types based on company policies and Philippine labor laws (e.g., DOLE guidelines)
Payroll Processing:
- Prepare and process monthly payroll for all employees, ensuring all deductions (taxes, SSS, PhilHealth, Pag-IBIG, etc.) and bonuses are correctly accounted for.
- Verify work hours, overtime, leave absences, and special allowances.
- Ensure compliance with Philippine labor laws, tax regulations, and the company's internal payroll policies.
Overtime and Special Payments:
- Track and calculate overtime, holiday pay, and other special payments in compliance with the Labor Code of the Philippines.
- Coordinate with department heads and HR to verify and process bonuses, incentives, and commissions.
Payroll Reporting & Documentation:
- Generate payroll and attendance reports and maintain accurate documentation for internal audits and tax filings.
- Prepare monthly, quarterly, and annual reports related to payroll, taxes, and benefits.
Benefits Administration:
Benefits Enrollment & Management:
- Administer the company's benefits programs, including healthcare (HMO), life insurance, SSS, Pag-IBIG, PhilHealth, and other employee welfare programs.
- Facilitate the annual benefits enrollment process and support employees with benefits-related inquiries, including claims and coverage details.
- Ensure timely and accurate processing of benefits-related claims (e.g., medical reimbursement, sick leave, maternity leave) and facilitate communication with insurance providers.
Benefits Compliance:
- Ensure that the company's benefits offerings comply with Philippine laws and regulations (e.g., SSS, Pag-IBIG, PhilHealth, Labor Code).
- Prepare and file necessary reports for government-mandated benefits, including remittances and declarations for SSS, PhilHealth, and Pag-IBIG.
Employee Communication & Support:
- Provide employees with detailed information on their benefits, including health insurance options, government-mandated contributions, and retirement plans.
- Respond to employees' benefits-related questions and troubleshoot any issues related to claims or coverage.
Benefits Reporting & Analytics:
- Track and report on employee benefits utilization and costs, and work with HR management to recommend improvements or changes in the benefits package.
- Assist with preparing benefits reports for budgeting and forecasting purposes.
HRIS (Aurora) Management:
HRIS Data Management:
- Maintain accurate and up-to-date employee data within the Aurora HRIS system, ensuring the integrity of all payroll, timekeeping, and benefits information.
- Regularly update employee records in the system for salary changes, benefits enrollment, and leave entitlements.
Skills & Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent work experience.
- At least 3-5 years of experience in a timekeeping, payroll, or compensation and benefits role, preferably in a mid-to-large-sized company (300+ employees) in the Philippines.
- Experience with Aurora HRIS is highly preferred.
- Strong knowledge of Philippine labor laws and regulations (e.g., SSS, PhilHealth, Pag-IBIG, DOLE guidelines).
- Familiarity with compensation and benefits management, including HMO, insurance plans, and government-mandated benefits.
- Familiarity with payroll systems and experience in working with timekeeping systems (e.g., biometrics, web-based timekeeping).
- Excellent attention to detail and strong organizational skills.
- Analytical thinking and problem-solving skills, especially in reconciling payroll discrepancies or benefits-related queries.
- Strong communication skills, both written and verbal, with the ability to explain complex compensation and benefits matters to employees clearly.
- Ability to maintain confidentiality and handle sensitive employee data with discretion.
- Proficiency in Microsoft Office Suite (Excel, Word) and HRIS software.
