DUTIES AND RESPONSIBILITIES
Check and review the accuracy of all billings
Timely update of Import and Export Monitoring.
Efficient Logistics Management:
· Maintain accurate and up-to-date records of all import and export shipments including sending of marketing and product samples to prospective clients.
· Track the progress of shipments and communicate with suppliers or customers regarding delivery schedules.
· Ensuring cargo requirement is complete prior to cargo loading.
· Collaborate with Loading Master and Logistics Team during shipment loading.
Customs & PEZA Coordination:
· Collaborate with customs brokers and agents to ensure the timely clearance of overseas deliveries.
· Handle quotes from prospective shippers, forwarders and customs brokers.
· Coordinate with PEZA for processing of shipment permits such as LOA (Letter of Authority), Import Permits etc.
Documentation and Compliance:
Complete import and export documentation accurately and in compliance with regulatory requirements such as;
· Final Shipping Instructions (FSI)
· LOI (List of Importable) and LOE (List of Exportable)
· Commercial Invoice and Packing List Creation
· Certificate of Origin
· Kosher Certificate
· ISF Filing
· Letter of Authority
· Import & Export Permits
· SDS
· Bill of Lading Approval
· Accreditation of Truckers, Brokers and Forwarders
· Others.
Permit and License Management:
· Assist in obtaining all necessary import permits and export licenses for various processes.
· Coordinate with the sourcing department to establish efficient export classifications and tariff schedules.
Freight Logistics and Customer Service:
· Interface effectively with freight forwarders to optimize shipment logistics.
· Resolve shipment issues and provide an optimal level of customer service.
Certification and Audit:
· Obtain product certifications for all import and export products as required for customs clearance.
· Collaborate with various departments to gather certification documents and conduct regular audits of broker activities.
JOB SPECIFICATION
Education:
· Bachelor's degree in Business, Customs Administration or a related field.
· Licensed Customs Broker or any related is an advantage
Experience:
· Proven experience in import and export coordination, preferably in a PEZA-regulated environment.
· Strong understanding of customs regulations, import/export documentation, and international shipping practices.
Skills and Competency Requirements:
· Exceptional attention to detail and organizational skills.
· Effective communication and negotiation abilities.
· Familiarity with Food Safety Management System (FSMS) is a plus.
· Demonstrated ability to work effectively in a team and adapt to a fast-paced, dynamic work environment.
· Strong problem-solving skills and the ability to make sound decisions under pressure.
· Knowledge of risk management and compliance with industry standards and regulations.
· Commitment to ethical conduct and professional standards in all aspects of the role.
