Job Qualifications:

  • Graduate of any 4-year college course preferably business related (Accounting, Business Management, Psychology, Human Resources Management).
  • Minimum of 2-3 years significant work in HR Functions preferably in a manufacturing firm or in a similar industry.
  • Proven work experience as a Benefits Admin Assistant/Specialist or in Payroll.
  • Working knowledge of benefits management and administration.
  • Highly knowledgeable in HR Information Management System and Timekeeping (JeonSoft) System.
  • Full knowledge in the Company's Benefits and Other Government Statutory Benefits.
  • Knowledgeable in ECOC implementation, especially in timekeeping-related matters.
  • Strong Knowledge in MS Office Applications.
  • Organization Skills with the ability to handle multiple assignments.
  • Above Average communication and relationship-building skills
  • Preferably with working knowledge in office management (cleanliness & orderliness of the office)
  • Basic knowledge of 5S, ISO, Safety Practices in the Workplace.

Job Description:

Employee Records (201 File) & HRIS Maintenance and Management

  • Organize and maintain 201 file records of all employees and keep documents updated and complete at all times.
  • Creation and routing of ACES and CES.
  • Ensures that information of employees are reflected on ACES (from hiring to any nature of employee movement must be reflected on ACES).
  • Promptly and accurately record/post, monitor, and update all relevant information on the status of Employees (Personal and Professional) e.g., Civil Status, Residential Address, Contact Numbers, Employee Movements, Termination, Sick Leaves, Disciplinary Warnings, Vacation Leaves.

Benefits Administration

  • Knows understands and ensures that the Company Benefits and Government Statutory Benefits Programs are managed and administered within the period indicated in the Service Level Agreement (SLA) or by the deadline set by the Gov't Agency progress is monitored and application available is provided to the employees. (e.g., Statutory Benefits, Company Benefits Initiatives, Loans, HMO, ID etc.)

Timekeeping Administration

  • Enroll directly hired and contractual employees into the timekeeping database and biometric device for proper attendance monitoring.
  • Prepare Attendance Report based on timekeeping data every cut-off period. Escalate issues/concerns to the HRAD Supervisor for necessary action.
  • Monitor legal holiday schedules, and special non-working holidays (national and local) for appropriate tagging in the timekeeping system and checking of employee attendance.
  • Custodian of biometric device in GH and ensures the device is regularly checked and maintained.
  • Notifies employees of payroll cut-offs, timekeeping, deadlines, and any timekeeping actions that need to be performed.

Payroll and Government Remittances

  • Process payroll of all weekly and semi-monthly paid employees, including all allowances and other benefits.
  • Process and remit employees' government remittances and other deductions.
  • Compute and process employees' 13th month pay annually.
  • Compute and process employees SL/VL cash conversion annually.
  • Prepare Annual Alphalist generate and issue employees Income Tax Return (ITR & BIR 2316).

Employee Separation & Clearance Administration

  • Receipt and processing of employee resignation letters.
  • Provide resigning employees with Clearance Forms and guidance to facilitate processing of their clearance.
  • Preparation and issuance of last pay and quit claims for resigned employees.
  • Prepare documents related to employee separation (e.g., COE, Certificate of Contributions etc.)
  • Generate daily, weekly, and monthly timekeeping records for Regular and Agency Workers (Greenhills).
  • Regularly prepare status reports on benefits claims and availments.
  • Update documents & reports (SSS, Philhealth, HDMF, TIN) for government compliance.
  • Prepare and submit list of resigned employees to SSS, HDMF, and Philhealth.
  • Submit weekly manhour, report and monthly attendance report.
  • Assists in the coordination and implementation of employee activities which are conducted in the Head Office.
  • Provides reports (e.g., Timekeeping, Attendance Summary Report, Summary of Leave Conversion, and other related Reports), as needed for Payroll Processing and other HRAD Benefits and Admin Purposes.
  • Review and validation of Greenhills Utilities payroll billing and agency employees contribution filling.

Financial Management

  • Implement and monitor cost savings activities to contribute to the overall savings of the Department/Company.

Customer Service Management

  • Provides immediate/on-time feedback to employees on the status of benefits & loans, clearance processing, and other HR admin and benefits services.
  • Assist employees by answering questions and interpreting established Company timekeeping policies, government benefits, and related matters and by directing employees to sources of additional information.
