JOB SUMMARY

The primary focus of this role is to support the New Zealand-based company by handling various administrative-related tasks. The Business Process Automation Specialist drives end-to-end process optimisation across the organisation. Partnering with business stakeholders, the role analyses current workflows, designs streamlined solutions, and delivers automation using Microsoft Power Platform, Microsoft Dynamics (preferred), and AI tools (e.g., ChatGPT). Success is measured by measurable efficiency gains, error reduction, and improved data visibility.

MAJOR RESPONSIBILITIES

1. Automation Solution Design & Delivery

  • Map current-state processes and identify automation opportunities

  • Build low-code/no-code solutions with Power Automate, Power Apps, and Dataverse

  • Develop dashboards in Power BI to surface real-time metrics and KPIs

2. Systems Integration

  • Connect Power Platform solutions with Microsoft Dynamics 365 and other line-of-business systems via APIs and custom connectors

  • Ensure data integrity and security across all integrations

3. Process Improvement & Governance

  • Apply Lean/Six-Sigma or BPM methodologies to eliminate waste and standardise workflows

  • Establish governance standards, documentation templates, and reusable components

4. AI & Intelligent Automation Enablement

  • Incorporate generative AI (e.g., ChatGPT) for decision support, knowledge retrieval, and smart routing

  • Evaluate and pilot new Microsoft Copilot features and other emerging AI tools

5. Stakeholder Engagement & Training

  • Translate business requirements into technical specifications

  • Conduct user acceptance testing, training, and post-deployment hyper-care

6. Continuous Optimisation

  • Monitor solution performance, troubleshoot issues, and implement enhancements.

  • Track ROI, accuracy, throughput, and user satisfaction metrics.

QUALIFICATIONS

Knowledge

  • Basic bookkeeping and financial management via Xero

  • Customer relationship management

  • Proficient in Microsoft 365 (Outlook, Teams, Word, PowerPoint, Excel, OneNote, OneDrive, and SharePoint)

Skills

  • Strong written and verbal communication

  • Research and analytical skills

  • Proficiency in using AI tools such as ChatGPT for content generation

  • Proposal preparation and project management

  • Experience with setting up and managing JotForm questionnaires

  • Organizational skills, including document management using SharePoint

  • High attention to detail and accuracy

Certifications

Must have

  • Microsoft Certified: Power Platform Fundamentals (PL-900)

  • Microsoft Certified: Power Automate RPA Developer Associate (PL-500)

Strongly Preferred

  • Microsoft Certified: Power Platform Developer Associate (PL-400)

  • Power Platform Solution Architect Expert (PL-600)

  • Power BI Data Analyst Associate (PL-300)

  • Dynamics 365 Fundamentals (CRM) – MB-910

Nice to have

  • Microsoft Certified: Azure AI Engineer Associate (AI-102)

  • Certified Business Process Professional (CBPP) / Associate (CBPA)

EQUIPMENT/SYSTEM REQUIREMENTS

  • Desktop / Laptop with Intel i5 (or equivalent) CPU, Windows 10 OS (or higher).

  • Minimum 16 GB RAM and 512 GB SSD.

  • Stable internet: ≥ 50 Mbps.

  • Webcam and noise-cancelling headset for virtual collaboration.

  • Licensed Microsoft 365 account and secure VPN access.
