Job Overview

The Embassy Terrace Homes Condominium Corporation (ETHCC) Administrator maintains office presence and runs the services provided in ETHCC Community. He/She may spend the day meeting with

Homeowners, tenants, vendors, guest, inspecting the premises and supervising ETHCC employees. The

ETHCC Administrator is responsible for the maintenance and upkeep of the whole property specially the common areas. He/She is also responsible in enforcement of ETHCC rules and regulations. He/She must understand the needs and support needed by the homeowners in performing the duties of the position.

The position requires the detailed knowledge of governing document such as (Condominium Certificates of Title, Articles of Incorporation, By Laws, Design Guidelines, Community Rules and Regulations,

Government Institutions Guidelines. The position also requires a high level of technical proficiency as well as basic financial Management.

Job Duties and Responsibilities

  • ETHCC Rules and Regulations

  • The Administrator is involved in drafting and enforcing ETHCC rules and regulations. These rules govern behaviors that are intended to help maintain the look and feel of the and keeping ETHCC premises in order. Rules and regulations usually governs the maintenance of

ETHCC look and feel standard design , parking guidelines, hearing the complains from the

Home Owners, investigating and resolving issues

  1. Acts as liaison between homeowners, tenants, Board of Directors and government institutions on matters pertaining to ETHCC and the community.

  2. Facilitate yearly renewal of ETHCC and pass-through stickers through coordination with neighboring villages.

  3. Ensures monitoring of contractors and workers in compliance to ETHCC Rules and

Regulations

  • Maintenance and Upkeep

  • The Administrator is responsible for the general maintenance and upkeep of common areas in ETHCC premises. These includes maintenance of lighting, septic tank, equipment and tools in good condition.

  • The Administrator secures necessary services, such as waste disposal and other third-party maintenance providers. He/She negotiates the pricing of such services.

  • Safety and Security

  • Management of third-party security agency and ensuring compliance to the contractual agreement.

  • Ensure consistent enforcement of ETHCC Rules and Regulations by the third-party Security

Provider.

  1. Ensure Safety of the residents by conducting regular inspection of ETHCC premises of hazards.

  2. Dispute Resolution

  3. He/She must be able to manage, and handle complains from the residents. He/She may issue fines against non-compliant Homeowners if rules are violated in accordance to ETHCC

Rules and Regulations

  • Financial and other Responsibilities

  • This position handles the financial matters of ETHCC within the approved limits of authority, including the following: a. Collection of association dues, lease payments and fines from the residents b. Budget monitoring and forecasting c. Processing of ETHCC employees pay-roll and benefits d. Regulatory permitting, filing such as Insurance, BIR, SEC, and LGU e. Facilitates periodic registration, documentation and payment to regulatory agencies such as but not limited to BIR, SEC, SSS, Philhealth, HDMF and HLURB requirements as appropriate

  • Assist in various forms of communication to residents including flyers, email, chat messaging and mail distribution

  • Provides assistance to the ETHCC Board with document preparation, typing, formatting and filing.

Qualifications, Education and Experience

  • College Graduate
  • 1-2 years of experience in Property Management or as an Administrator of Home Owners Associations

Knowledge, Skills and Aptitudes

  • Above average skills in MS Office, Windows Operating System, Mobile applications
  • Customer Service Oriented
  • Self-driven and ability to multitask
  • Able to express thoughts both in written and oral formats
  • Supervisory skills

Job Type: Full-time

Pay: Php20, Php25,000.00 per month
