Job Summary
The Office Administration Services Technical Assistant's responsibility is to ensure that all SMDC Offices are clean, presentable and maintained in the highest standards to encourage employees. He/she shall ensure sufficient regular repair supplies and other consumables (i.e. office workstations, chairs) are maintained. This position shall also be responsible to implement all repair and maintenance activities of the SMDC Offices, implement office expansions & renovations and timely completion. This include but is not limited to electrical, carpentry and IT data connections. And work closely with Property Management Dept. on facilities concerns in the offices.
DUTIES AND RESPONSIBILITIES
- Ensures that necessary administrative and contractual/technical services are adequately provided: Coordinate with Purchasing Dept. for the evaluation and awarding of service contracts to accredited suppliers/contractors/service providers.
- Ensures all equipment in the offices are maintained through proper in-house preventive maintenance programs, minor repairs, or out-sourced services to prevent breakdowns and business disruptions
- Ensures that service contractors are aware of and are performing their responsibilities consistent with the company policies and procedures, and the service agreement provisions and requirements.
- Monitors and schedules the implementation of Offices Maintenance program/s.
- Responsible for the punch listing of completed Offices.
- Ensures that punch listed items are satisfactorily completed prior to acceptance of the Office/s.
- Conducts regular office inspection to determine items which need immediate repair or replacement.
- Investigates incident reports of damage or loss to offices or equipment and initiates required repair in coordination with all concerned groups.
- Coordinates, provides and monitors insurance applications for recovery of damaged Office equipment/appliances etc.
- Provides estimates and specifies materials to be used for repairs and prepare necessary requisitions.
- Prepares Investigation Report to document technical recommendation for reported damage/loss to office building or equipment.
- Coordinates with Property Management Dept. & Office Building Administrators/Engineers for technical concerns and repairs.
- Creates work schedule for Handymen/Technical Assistants by determining workload and work priority.
- Monitors and evaluates repairs done by Handymen/Technical Assistants and contractors/service providers.
- Prepares standard parameters to monitor and measure quality of service delivered by contractors/service providers and handymen.
- Checks and reviews the Daily Time Report (DTR) of handymen personnel assigned in Offices.
- Monitors stock levels of repair supplies of Offices through the Technical Office Admin. Assistants and coordinates with Asset and Supplies Management for delivery of required supplies.
- Prepares Technical Accomplishment Report on a weekly basis
- Prepares status update report for repairs and maintenance on a monthly basis.
- Monitors, records and evaluates operating variables such as utilities charges, electric and water meter readings, air-conditioning, service contractors' coverage and recommends budget re-alignments, if necessary, to finance office operations and maintenance requirements.
- Preferably Licensed Electrical Engineer.
- Has proficiency using AutoCAD.
