Job Summary:
The Operations MIS Assistant is responsible for managing, consolidating, and analyzing operational data from both in-house and field teams to support management in tracking productivity, performance trends, and overall efficiency. This role ensures that daily, weekly, and monthly reports are accurate, validated, and submitted on time to aid in operational planning, billing, and decision-making.
Key Responsibilities:1. Data Collection and Validation
- Collect and consolidate daily performance reports from Team Leaders, Field Account Officers, and QA personnel.
- Validate submitted data for accuracy, completeness, and alignment with client or internal reporting standards.
- Monitor and reconcile inconsistencies in attendance logs, productivity sheets, and activity reports.
- Maintain up-to-date master files and trackers (e.g., headcount, attendance, collection performance, repossession status).
2. Report Generation and Analysis
- Prepare and generate daily, weekly, and monthly Operations Performance Reports and submit them to management and client partners.
- Create visual dashboards or summary presentations highlighting trends, variances, and key operational metrics.
- Support the Operations and Finance teams by providing validated data for billing and performance-based reporting.
- Analyze performance data to identify bottlenecks, trends, and improvement opportunities.
3. Coordination and Systems Support
- Work closely with Operations, HR, and Billing to ensure synchronized data reporting and consistency of information across departments.
- Update and maintain performance monitoring templates using MS Excel, Google Sheets, or other approved tools.
- Recommend process improvements to enhance data efficiency, accuracy, and report automation.
- Provide technical assistance to Operations teams in understanding and using reporting tools.
4. Documentation and Compliance
- Maintain organized archives of all operational reports and supporting data for audit and reference.
- Safeguard the confidentiality and integrity of all operational information.
- Support management in audit preparation and compliance checks by providing required reports promptly.
Qualifications:
- Bachelor's degree in Information Technology, Computer Science, Business Administration, or any related field.
- At least 1–2 years of experience in MIS, Data Reporting, or Operations Analytics, preferably in a Collection, or Field Operations environment.
- Proficient in MS Excel (Pivot Tables, Formulas, Conditional Formatting, Dashboards); knowledge in Power BI or data visualization tools is an advantage.
- Strong attention to detail and high level of accuracy in data handling.
- Excellent organizational and coordination skills.
- Ability to manage multiple reporting deadlines and adapt to dynamic operational requirements.
