Role Purpose
The Assistant to the Quality & Compliance Officer will provide administrative and operational support in ensuring that the organisation meets all regulatory, contractual, and internal quality standards. This role will assist in maintaining compliance with HSE requirements, HIQA regulations, safeguarding obligations, and company policies, supporting the delivery of safe, person-centred homecare services.
Key Responsibilities
Compliance & Quality Support
- Assist in monitoring compliance with HSE, HIQA, and Tusla safeguarding requirements.
- Support the preparation of internal audits, external inspections, and compliance reviews.
- Maintain accurate records of policies, procedures, and regulatory documentation.
- Track staff compliance with mandatory training, Garda vetting, and registration requirements.
Safeguarding & Risk Management
- Support the logging, tracking, and follow-up of incident reports, complaints, and safeguarding concerns.
- Assist in collating data for risk assessments and compliance reports.
- Ensure documentation related to safeguarding and quality standards is kept up to date.
Administrative & Reporting Duties
- Provide administrative support to the Quality & Compliance Officer, including filing, data entry, and preparing reports.
- Assist in drafting communications, reports, and updates for management.
- Coordinate with HR and Operations teams to ensure staff files are compliant and audit-ready.
- Maintain compliance trackers, spreadsheets, and reporting dashboards.
Training & Development
- Assist in organising staff training sessions and monitoring attendance/completion.
- Maintain training records and ensure renewals are tracked.
General Support
- Provide cover for quality and compliance functions as directed.
- Support continuous improvement initiatives across the organisation.
- Carry out any other reasonable duties as assigned by the Quality & Compliance Officer.
- Strong attention to detail and accuracy.
- Excellent organisational and record-keeping skills.
- Ability to handle confidential and sensitive information appropriately.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and database systems.
- Strong communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Understanding of HIQA standards, HSE tender requirements, and safeguarding procedures (desirable but training can be provided).
- Previous experience in administration, compliance, or quality assurance role (essential).
- Experience in healthcare, homecare, or regulated environments (desirable).
- Knowledge of HIQA regulations, HSE compliance, or Tusla safeguarding standards (desirable).
- Relevant qualification in business administration, healthcare, or quality management (advantageous but not essential).
