We are looking for a dynamic Workplace Experience & Facilities Lead to oversee the strategic design, operation, and continuous improvement of our physical and digital workplace. This role ensures an engaging, safe, compliant, and sustainable environment that supports employee experience, productivity, and organizational growth.

Key Responsibilities

Workplace Experience Strategy & Design

  • Define and drive the workplace experience strategy aligned with GBS/IVSSI goals.
  • Develop workplace standards that enhance employee engagement, collaboration, and productivity.
  • Ensure designs support hybrid work, focus work, and compliance requirements.

Facilities & Administration

  • Lead day‑to‑day site operations, including office management, visitor handling, pantry, cleaning, security, maintenance, and supplies.
  • Ensure consistent, reliable, and cost‑effective services across locations.
  • Manage facilities planning for site openings, expansions, and renovations.

Health, Safety & Well‑Being

  • Act as the accountable lead for workplace health, safety, and well‑being.
  • Ensure compliance with local OHS regulations, fire safety, emergency readiness, and ergonomics.
  • Conduct risk assessments, incident reporting, and corrective actions.
  • Partner with People & Culture on well‑being initiatives.

ESG & Sustainability

  • Integrate ESG principles into workplace design and operations.
  • Drive sustainability initiatives (energy/water efficiency, waste management, responsible sourcing).
  • Track and report ESG-related workplace metrics.

Workplace & Capacity Management

  • Oversee workspace capacity planning, seating strategy, and meeting room utilization.
  • Support RTO and telecommuting strategies fairly and effectively.

Digital Workplace Enablement

  • Partner with IT on digital tools that support collaboration and hybrid work.
  • Serve as business owner for systems such as seat booking, visitor management, and access control.

Governance, Policies & Insights

  • Develop and enforce workplace policies and standards.
  • Manage dashboards and analytics for capacity, cost, safety, and ESG performance.
  • Translate data into insights to guide leadership decisions.

Vendor & Partner Management

  • Manage all workplace‑related vendors and service providers.
  • Ensure compliance with service, safety, and ESG requirements.
  • Optimize contracts and drive continuous performance improvements.
Qualifications
  • Bachelor's degree.
  • 7+ years of progressive experience in workplace experience, facilities management, corporate services, or GBS/shared services operations.
  • Strong background in facilities operations, workplace strategy, HSE, vendor management, and capacity planning.
  • Experience supporting large-scale environments, site openings, and workplace transformations.
  • Knowledge of occupational health and safety, ergonomics, fire safety, and ESG principles.
  • Familiar with workplace technologies (seat booking, visitor systems, access control) and workplace analytics.
  • Strong leadership presence with excellent stakeholder and vendor management skills.
  • Preferred certifications: IFMA/CFM/FMP, NEBOSH/IOSH, ISO 14001, PMP/PRINCE2.
