About the Mall Administration Specialist role
The Mall Administration Specialist is responsible for the day-to-day operations of the mall, ensuring smooth and efficient management of tenant relations, billing, collections, maintenance, and janitorial services. The role involves monitoring tenant compliance, addressing concerns, handling utility readings, and overseeing regular maintenance activities. The Mall Administration Specialist works closely with various departments and ensures a clean, safe, and well-maintained environment for both tenants and visitors.
A Mall Administration Specialist's duties & responsibilities are as follows but not limited to:
Cashflow and Attendance Management
- Prepare and submit monthly SOA's by attaching previous and current utility readings for tenants.
- Monitor tenant payment compliance and address any delayed payments.
- Manage a petty cash fund for mall-related expenses, ensuring proper documentation and usage for items like janitorial supplies and minor repairs.
- Approve purchases for necessary maintenance supplies such as soap, cleaning materials, and other janitorial needs.
- Record employee attendance through the Daily Time Record system, managing cut-off periods.
- Submit employee attendance reports to the Head Office for payroll processing.
Tenant and Customer Relations
- Process gate passes for tenants' daily entry and exit, ensuring proper documentation and double-checking of security requirements.
- Coordinate with tenants regarding maintenance requests or concerns, ensuring prompt resolution and communication.
- Assist tenants with concerns and requests, ensuring clear communication with the General Manager and Head Office for approvals.
- Process and submit necessary documents for tenants.
- Address customer complaints and incidents in the mall, ensuring proper investigation and resolution.
- Handle accident reports and ensure compliance with safety protocols and documentation.
Maintenance, Compliance, and Janitorial Management
- Create and manage the monthly janitorial and maintenance schedules to ensure proper cleanliness and upkeep of the mall.
- Perform monthly utility readings for electricity and water.
- Conduct regular inspections to identify areas in need of repair or improvement and coordinate corrective actions.
- Supervise and verify the completion of maintenance and janitorial tasks and ensure quality and safety standards.
- Manage and report maintenance issues and assign tasks to the maintenance team for immediate resolution.
- Assist in securing necessary permits and certifications from local municipalities and ensure compliance with legal and regulatory requirements.
Weekly and Monthly Reporting
- Prepare and send weekly maintenance updates and reports to the Head Office for review.
- Ensure all reports, such as new tenant arrivals or departures, are submitted to the Head Office.
Job Qualifications
- At least two (2) years of relevant experience in the the field/s of commercial leasing or building administration unless the candidate has exhibited remarkable results academically or professionally. In such cases, relevant experience can be less than two (2) years, commensurate with achievements.
- Must have comprehensive, actionable, and immediately relevant technical knowledge related to this role such as relevant laws and other trends pertinent to the industry.
- Must have graduated with a Bachelor's Degree, but a relevant degree is an advantage.
- Relevant Master's Degree is a huge advantage
- Must be knowledgeable in Microsoft Excel and QuickBooks
Initial monthly salary range for this role is from PHP 14, ,000 and is commensurate to relevant job experience.

Please Note
- This position requires the employee to report to the admin office in Lokal Malls Molino Monday to Saturday 9:00 AM to 6:00 PM.
