GoGym is seeking a highly organized, proactive, and trustworthy Executive Assistant (EA) to provide comprehensive support to its Executive Team. This is a key role that sits at the heart of the business, enabling leadership to move faster, stay more focused, and operate more effectively across all departments.

The ideal candidate is a skilled communicator, process-oriented, discreet with sensitive information, and able to juggle multiple high-priority tasks at once. This is not a typical corporate EA role — you'll be helping run and grow a high-velocity, tech-enabled fitness business that spans multiple locations and functions.

Key Responsibilities

Executive & Administrative Support

  • Manage calendars, schedule meetings, confirm appointments, and coordinate travel logistics for the Executive Team
  • Take meeting notes, assign follow-up tasks, and manage executive action trackers
  • Draft, format, and review internal memos, reports, and email communications on behalf of executives
  • Screen and manage inbound communications (email, SMS, internal messages), prioritizing important matters for executive review

Operations & Project Coordination

  • Track and follow up on ongoing initiatives across Operations, Product, Marketing, Sales, and HR
  • Assist in organizing quarterly planning meetings, investor calls, or leadership off-sites
  • Help compile reports, presentations, and documentation for internal and external stakeholders
  • Act as a liaison between executives and frontline staff, ensuring alignment and clear communication

Data & Document Management

  • Maintain organized, cloud-based filing systems (Google Drive, Notion, Airtable, etc.) for contracts, reports, and planning documents
  • Help prepare company updates, status reports, and basic dashboards for performance tracking
  • Support data gathering and research for decision-making, strategic planning, or new initiatives

Confidential & Ad Hoc Tasks

  • Handle highly sensitive information with discretion and professionalism
  • Complete ad hoc assignments such as document preparation, confidential communications, research projects, or partner follow-ups
  • Provide logistical or administrative support for events, audits, legal paperwork, or investor materials

Qualifications

  • At least 2–3 years of relevant experience as an Executive Assistant, Chief of Staff, Project Coordinator, or Operations Associate
  • Strong written and verbal communication skills in both English and Tagalog
  • Highly proficient in Google Workspace (Docs, Sheets, Slides, Gmail, Calendar); bonus if familiar with Notion, Trello, Airtable, Slack, or similar tools
  • Highly organized, detail-oriented, and capable of managing multiple priorities simultaneously
  • Discreet and trustworthy with confidential and high-level information
  • Must be Metro Manila–based, with reliable internet and willingness to travel to gyms or meetings as needed
  • Preferred but not required: Background in fitness, startups, consulting, project management, or business operations

Job Types: Full-time, Fixed term

Pay: Php18, Php20,000.00 per month
