Basic Function

The DCC Officer is responsible for overseeing the control, management, and safekeeping of company documents, ensuring compliance with organizational policies, ISO standards, and regulatory requirements. The role ensures that accurate, updated, and approved documents are accessible to authorized personnel while maintaining confidentiality, version control, and audit readiness.

Duties and Responsibilities
  1. Document Control & Compliance

  2. Establish, implement, and maintain document control procedures across all departments.

  3. Ensure that only the latest approved versions of documents are available and obsolete versions are withdrawn.
  4. Maintain compliance with ISO standards, company policies, and regulatory requirements.
  5. Facilitate document-related audits and inspections.
  6. Records & Filing Management

  7. Maintain a centralized repository for both electronic and physical documents.

  8. Classify, index, and archive documents in accordance with retention schedules.
  9. Safeguard confidential and sensitive records.
  10. Coordination & Support

  11. Coordinate with department heads for document submission, review, approval, and distribution.

  12. Support employees in retrieving required documents in a timely manner.
  13. Train and guide staff on document control processes and best practices.
  14. Monitoring & Reporting

  15. Monitor compliance with document control procedures across the organization.

  16. Prepare reports on document status, updates, and compliance issues.
  17. Recommend process improvements for efficient document management.
Qualifications
  • Bachelor's degree in Business Administration, Information Management, Industrial Engineering, or related course.
  • At least 2–3 years of experience in document control, records management, or quality management systems.
  • Strong knowledge of ISO standards (ISO 9001, ISO 22000, etc.) and regulatory compliance.
  • Proficient in MS Office applications and document management software (e.g., SharePoint, M-Files).
  • Strong analytical, organizational, and problem-solving skills.
