Job Summary

The Parts Purchasing Officer is responsible for sourcing, negotiating, and procuring automotive parts and materials required for operations. The role ensures timely availability of quality parts at competitive costs while maintaining accurate purchasing records and strong supplier relationships.


Key Responsibilities
  • Source, evaluate, and select suppliers for automotive parts and materials
  • Prepare and process purchase requests, purchase orders, and related documentation
  • Negotiate pricing, terms, delivery schedules, and payment conditions with suppliers
  • Monitor inventory levels and coordinate with warehouse and service teams to prevent shortages or overstocking
  • Track purchase orders and follow up on deliveries to ensure on-time receipt
  • Verify delivered items against purchase orders and coordinate with concerned departments for discrepancies
  • Maintain accurate purchasing records, supplier files, and price lists
  • Coordinate with Finance/Accounting for invoice matching and payment processing
  • Ensure compliance with company policies, budget guidelines, and procurement procedures
  • Assist in supplier performance evaluation and cost-saving initiatives
  • Perform other purchasing- and inventory-related tasks as assigned

Qualifications
  • Bachelor's degree in Business Administration, Supply Chain Management, or any related course
  • At least 1–2 years of experience in purchasing or procurement (automotive industry is an advantage)
  • Knowledge of automotive parts, inventory management, and supplier sourcing
  • Strong negotiation, communication, and analytical skills
  • Proficient in MS Excel and purchasing or inventory systems
  • Detail-oriented, organized, and able to work under pressure
  • Willing to coordinate with multiple departments and suppliers
