BASIC FUNCTION
Responsible for accurately inputting, updating, and maintaining data into the company's computer systems or databases. This role ensures that all data is encoded according to company standards and supports various departments by providing timely and accurate information entry.
KEY ORGANIZATION RELATIONSHIP
Reports to the IT Supervisor or IT Manager. Coordinates with HR, Accounting, Logistics, Production, or other departments depending on data type.
DUTIES AND RESPONSIBILITIES
1. Encode and update data in systems, spreadsheets, or databases (e.g., employee data, production output, inventory records, delivery logs, sales reports, etc.).
2. Ensure accuracy and completeness of entered information by verifying documents or source data.
3. Maintain data confidentiality and security in line with company policies.
4. Generate reports from encoded data when requested by departments or management.
5. Coordinate with departments to resolve inconsistencies or missing data.
6. Support IT team in basic technical troubleshooting related to data systems, encoding tools, or printers.
7. Follow encoding procedures and timelines to meet daily or weekly targets.
8. Assist in clerical or administrative tasks when necessary.
QUALIFICATION
Education : Graduate of any 2-year or 4-year IT-related course or any business-related field with computer proficiency.
Experience : At least 6 months to 1 year of experience in encoding or clerical work preferred, but fresh graduates are welcome.
Skills : Proficient in MS Office (Excel, Word, Access); knowledge in ERP systems is a plus. High attention to detail and accuracy. Good typing speed (at least 40–50 words per minute). Strong organizational skills and ability to handle confidential information. Ability to work independently and manage time effectively.
