KEY DUTIES AND RESPONSIBILITIES:

Order Encoding & System Updates:

a. Accurately encode all incoming customer orders into the Inventory System, ensuring alignment with order details such as product codes, descriptions, quantities, and pricing.

b. Enter relevant order information into the Procurement Tracker for items requiring Just-In-Time (JIT).

c. Encode relevant order information into the Operations Tracker to enable the Operations Team to process the order accordingly.

SLA Analysis & Coordination:

d. Collaborate with the Sales Department to assess each order's priority and delivery expectations.

e. Determine the appropriate SLA based on stock availability, lead times for JIT items, and customer requirements.

f. Flag and escalate orders with potential SLA risks or fulfillment delays.

Data Accuracy & Compliance:

g. Ensure all encoded data is complete, accurate, and consistent with customer POs and internal documentation.

h. Maintain proper filing and documentation of all encoded transactions for audit and reference.

Support & Communication:

i. Coordinate with Procurement and Inventory teams to validate JIT item availability and estimated delivery timelines.

Additional Duties

:m. Provide support for ad-hoc tasks as required.

QUALIFICATIONS:

1. Bachelor's degree or at least 2 years of college in Business Administration, Office Management, Information Systems, or related field.

2. 1–2 years of experience in data encoding, order processing, or administrative support.

3. Familiarity with Inventory and Procurement systems is an advantage.

4. Strong analytical skills and attention to detail.

5. Proficiency in Microsoft Excel and basic knowledge of inventory software.

6. Good communication skills and ability to work collaboratively across departments
