Key Responsibilities:

  • Provide seamless administrative support, including managing emails, overseeing calendars, and coordinating schedules.
  • Keep customer records up-to-date in the CRM system.
  • Ensure smooth communication by following up with clients, leads, and insurance reps on project progress and timelines.
  • Assist with job tracking, crew scheduling, and coordination to meet project deadlines.
  • Prepare and send invoices, contracts, and other essential documentation.
  • Offer customer support via phone calls, text messages, and email.
  • Help with basic data entry and assist in generating reports to enhance operational efficiency.
  • Perform various administrative tasks such as obtaining permits, placing material and labor orders, collecting roof measurements, and supporting estimate preparation.

Skills & Qualifications:

  • At least 2 years of experience in a Virtual Assistant, administrative, or support role.
  • Excellent communication skills in both spoken and written English with a neutral accent.
  • Strong organizational skills, with the ability to prioritize and manage time effectively.
  • Comfortable using VOIP platforms (e.g., RingCentral) for making and receiving calls.
  • Reliable internet connection (minimum 25 Mbps) and a quiet, dedicated workspace with a noise-canceling headset.
  • Proficient in Google Workspace (Docs, Sheets, Drive).
  • Detail-oriented, self-motivated, and quick to learn new systems.
  • Available to work during U.S. business hours (EST, CST, MST, or PST).

Preferred Experience:

  • Background in roofing, construction, or insurance claims.
  • Familiarity with CRM software such as JobNimbus, Rooflink, or Acculynx.
  • Experience with invoicing tools like QuickBooks or Xero.
