Job Summary:
Registrar is responsible for managing student records, coordinating enrollment and class schedules, and ensuring compliance with the Civil Aviation Authority of the Philippines (CAAP) and other relevant government agencies. This role ensures the proper documentation and monitoring of student pilots' academic and flight training progress, and provides key administrative support for the efficient operation of the school.
Key Responsibilities:
- Manage student admissions and enrollment process, including documentation and verification.
- Maintain and secure accurate student records, including training logs, academic grades, and certifications.
- Monitor student progress and alert instructors and management of any delays or deficiencies.
- Ensure compliance with CAAP, CHED, TESDA, Bureau of Immigration (for foreign students), and other applicable regulatory bodies.
- Prepare and submit reports and documentation as required by CAAP, including logbook records, course completion forms, and graduation lists.
- Assist with the preparation of documents for ATO certification or renewal.
- Coordinate ground school and flight training schedules with instructors and operations staff.
- Support student registration for internal courses, checkrides, and assessments.
- Maintain an updated training calendar and assist in the coordination of simulator use, aircraft availability, and instructor assignments.
- Student Services & Support
- Provide guidance to students on program requirements, training progression, and documentation needs.
- Serve as the primary contact for student inquiries related to academic standing, transcripts, certificates, and diploma issuance.
- Liaise with the finance department regarding student billing, account status, and training clearances.
- Keep and update student files in both physical and digital formats.
- Support the maintenance of the student handbook, academic calendar, and registrar policies.
- Assist with graduation ceremonies, certificate distribution, and official school functions.
Qualifications:
- Bachelor's degree in Office Administration, Education, Aviation Management, or any related field.
- Experience in a registrar, administrative, or academic office role.
- Strong attention to detail and organizational skills.
- Proficient in Microsoft Office applications and recordkeeping systems.
- Good verbal and written communication skills in English and Filipino.
- Experience working in a CAAP-approved ATO or aviation training institution.
- Familiarity with CAAP regulations, flight training documentation, and pilot certification processes.
- Knowledge of immigration processing for foreign student pilots.
- Background in aviation or interest in flight operations is a plus.
