PURPOSE OF THE POSITION:
Reporting to Manager/Maintenance Planner, The Assistant Planner is accountable and responsible for to assist in the planning, scheduling, coordination, and documentation of maintenance activities (preventive, predictive, and corrective) for heavy equipment. Ensures that all maintenance tasks are efficiently planned, spare parts are available, work orders are organized, and records are up to date.
DUTIES AND RESPONSIBILITIES:
I. Safety and Compliance
Ensure that maintenance schedules include safety inspections.
Report any unsafe practices or non-compliant issues to the planner or supervisor.
Participate in toolbox talks and safety meetings as needed.
II. Maintenance Scheduling
Assist in preparing daily, weekly, and monthly preventive maintenance (PM) schedules.
Coordinate with operations and service teams for equipment availability.
Update the maintenance calendar and notify technicians of scheduled tasks.
III. Work Order Management
Create and issue work orders for PM and corrective maintenance (CM).
Ensure work orders are completed accurately and closed in the system.
Track pending or overdue maintenance tasks and follow up with assigned personnel.
IV. Spare Parts Coordination
Assist in checking availability of spare parts prior to job execution.
Coordinate with warehouse for parts issuance or replenishment.
Maintain a checklist of common parts used for fast-moving maintenance jobs.
V. Documentation and Reporting
Maintain accurate equipment maintenance records (e.g., service logs, checklists, PM history).
Prepare daily and weekly maintenance reports.
Support documentation needed for audits or compliance inspections.
VI. Technical Support
Support mechanics in understanding maintenance procedures and schedules.
Assist in updating equipment asset register and tagging newly commissioned units.
Provide basic technical data on equipment specs, intervals, and service manuals.
QUALIFICATIONS, SKILLS AND EXPERIENCE:
Mechanical, Electrical or Industrial Engineering graduate.
At least 1 year experience on related field.
Knowledgeable in Heavy Equipment Preventive Maintenance Program
Strong understanding of maintenance workflows, PM/PdM concepts, and spare parts management.
High level of interpersonal skills and integrity;
Creative, forward thinker.
Able to deliver effective results, meet tight deadlines and targets
Familiar with CMMS (e.g., SAP, Oracle, Maximo, or other computerized maintenance systems).
Strong understanding of maintenance workflows, PM/PdM concepts, and spare parts management.
Ability to multitask and work well under pressure.
Proficient in MS Office (especially Excel, Word, Outlook).
