- Answering phone calls, screen and forward calls, providing information, taking messages and scheduling appointments. Makes outgoing call as requested.
- Greet persons entering establishment, determine nature and purpose of visit and direct or escort them to specific destination/s
- Transmits information and control of incoming and outgoing documents/records and endorse it to the addressee using DC log sheet as record
- Records, communicates and distributes documents and records for a particular area and /or location
- Controls and updates documents and records in digital, hard copy or both for a particular area/location in accordance wit the established company procedures.
- Keeping track of all company documents and records through Master-lists . Assits in the document preparation.
- Keeping track of all incoming and outgoing company documents and records for a particular area and/or location through DC Log Sheets. Making sure established Communication Procedure is being followed.
- Management of document codes for a particular area and/or location ie issuance, monitoring and updating of Reference Code Registry.
- Files and maintain company documents and records for a particular area and/or location in accordance to the established Control of Documents and Records Procedure.
- Assist in the document preparation from the company records for a particular area and /or location
- Controls documents and records for a particular area/location in accordance to the established company procedures such as as the following:
- Ensure correspondences, transmittal are properly control with assigned reference code
- Ensure that maintained files are properly labeled, secured and readily identifiable and retrievable at the point of use
- Ensure that all requested documents and records from the Records Room for a particular area/location has approved Document Requested Form. To submit Document Requested Registry
- Ensure that all records for a particular area/location beyond its validity period is properly Archieve/Dispose
- Maintained active files needs to be monitored.
