JOB SUMMARY

The Admin Supervisor maintains and oversees The company's grounds, buildings and equipment to ensure a safe and functional workspace. Negotiating contracts with service providers, inspecting facilities to meet safety regulations and coordinating renovations and updates are also part of the responsibilities of this position.

Asset Management tasks including creating and implementing plans, tracking and updating asset databases, and ensuring compliance with government regulations.

Strong analytical skills, a deep understanding of asset lifecycle management, and a solid background in finance or business administration are essential to this position so as to help the company maximize its assets' value while minimizing associated risks.

BASIC DUTIES AND RESPONSIBILITIES

· Delegate cleaning and maintenance tasks to the General Services Team

· Monitor the safety and cleanliness of interior and exterior areas, such as offices, production floor, outlet, parking lots and other outdoor spaces

· Oversee routine maintenance on facilities and repairs as needed

· Schedule routine inspections, periodic pest control activities and emergency repairs, with external service providers

· Ensure proper security measures for the workplace, including collaborating with security agencies as required

· Maintain day-to-day operations of facilities, such as delegating or completing maintenance works

· Create reports on maintenance, repairs, safety and other occurrences for concerned departments and management

· Preparing facilities for changing weather conditions

· Collaborating with higher management on budgeting for facilities needs

· Develop and implement asset management plans

· Track the acquisition, distribution, and disposal of assets

· Perform regular asset audits and inventory checks

  • Update and maintain asset databases
  • Ensure compliance with government regulations and industry standards
  • Coordinate with different departments to understand asset needs
  • Analyse asset lifecycle and recommend improvements
  • Prepare and present asset reports to management
  • Collaborate with the procurement team on asset purchases
  • Manage asset-related risks and develop mitigation strategies
  • Supervise the coordination and management of all aspects of the licensing and permits process
  • Lead the liaison with relevant government and regulatory bodies such as LGU, NMIS, BAI, etc.
  • Oversee the preparation and submission of all necessary documentation for permits and licenses
  • Stay up-to-date with changes to licensing and permits requirements and regulations
  • Spearhead in the resolution of any issues that may arise during the licensing or permits process
  • Monitor and ensure that all licenses and permits are renewed in a timely manner
  • Safe keep and maintain accurate records of all licenses, permits and cntracts

MINIMUM JOB SPECIFICATIONS AND QUALIFICATION

  • Bachelor's Degree in Architecture, Engineering or any relevant Business related course
  • PRC License is a plus factor
  • Knowledgeable in mechanical, structural, plumbing, HVAC and other building systems
  • Familiarity with repair tools and techniques
  • Excellent communication and interpersonal skills, including the ability to speak with all levels of employees, guests, service providers and team members
  • Good time management, organization and prioritization abilities
  • Keen attention to detail, strong analytical and efficient problem-solving skills
  • Comfortable standing or walking for long periods of time
  • Proven experience in Asset Management or similar role
  • Deep understanding of asset lifecycle management
  • In-depth knowledge of relevant laws, regulations, and industry standards
  • Experience with asset management software and databases
  • Outstanding organizational, project management and multitasking abilities
  • Adept with permits and licensing requirements
  • Excellent written, verbal communication and presentation skills
  • Ability to lead a team and meet deadlines

Job Types: Full-time, Permanent

Pay: Php35, Php38,000.00 per month
