We are looking for a detail-oriented and proactive individual to manage government-related permits and licenses, ensuring compliance for both the company and its principal employer. This role also serves as a document controller and supports the development and implementation of the quality management system in line with DMW regulations. The ideal candidate will maintain strong relationships with deployed workers and their families, provide timely assistance, and promote their welfare. Client and account management responsibilities are also part of this role.
Key Responsibilities
EMPLOYEE'S WELFARE
- Conducts pre-departure briefing to all employees before deployment.
- Conducts quarterly welfare monitoring of all deployed workers.
- Monitor and submit worker's report in DMW OWMS quarterly and when needed.
- Ensure deployed workers are fully protected and welfare are well taken care of and properly monitored.
- Responsible in checking and monitoring of deployed workers are receiving the right compensation and benefits on time as stipulated in the employment contract.
- Provides assistance to workers and their families on matters relating to overseas employment, refer them to the proper government agencies for appropriate action when needed.
- Acts on complaints, gathers relevant data/information, investigate, analyze and recommends solution to the problems brought to its attention and submit status reports to the management.
- Coordinates with principal employer, worker and his/her family in case worker got sick, acquire serious illness, meet accident or got injured, work related or not and report the same to the proper authorities (management and DMW)
- Coordinate with principal employer for any employee grievances.
- Performs other functions as may be assigned to him/her from time to time.
COMPLIANCE
- Spearhead all activities of Documentations Team in relation to employee dispatch and employer accreditation.
- Acts as a document controller and is responsible for the timely, accurate and efficient preparation and management of documents.
- Acts as the main contact person and is responsible in dealing with all government related transactions of the company.
- Ensure compliance of the company and all accreditation is valid up to date.
- Establishes and maintains good relationships between VMSI and government agencies including different embassy.
- Monitor all updates on implementing rules and regulations of different government agencies.
- Consolidate and maintains an up to date employee and principal employer database.
- Responsible in managing, monitoring, evaluating and coordinating the Quality Management System.
- Performs other functions as may be assigned to him/her from time to time.
Job Qualifications
- Bachelor's Degree in Business Administration, Psychology, Social Sciences, or any four-year course
- At least 2 years of experience in a related field
- Knowledge of labor laws (host country, DMW, DOLE)
- Familiarity with basic health and safety procedures
- Counselling skills and competency-based interviewing techniques
- Ability to handle conflict, accidents, or emergencies calmly
- Strong attention to detail, organizational skills, and flexibility
- Integrity and credibility in explaining rules and regulations
- Above average analytical and decision-making skills
- Excellent communication skills for discussing policies and procedures
- Strong interpersonal skills, human relations, and a caring, mature personality
- Ability to maintain accurate and up-to-date records
- Knowledge and experience with ISO standards, preferably ISO 9001:2015
