Duties & Responsibilities:
Managing the whole purchasing process from requisition up to payment, and ensuring everything is properly documented, signed and approved and filed for reference.
Identify purchasing needs by checking the inventory and working with various departments/units to understand their requirements.
Source for potential suppliers/vendors, assess their capabilities in supplying quality product at a reasonable price.
Request and evaluate quotation from at least 3 to 4 suppliers (current and new supplier). Negotiate with vendors to get the best price, payment terms and earliest delivery.
Make the recommendation to management based on price, quality (brand), payment terms and delivery time.
Once a supplier is approved, request for their business documents (Company Profile, LTO, FDA, TIN, etc.)
Preparation of Purchase Order, get it approved and signed by CSR Head before sending it to supplier.
Monitor all PO that is out, check for delivery and make sure that the hospital has enough supply to use.
Constant search for potential supplier and maintaining a good relationship with them.
Maintaining records: Keeping accurate and properly filed purchasing documents (Purchase Order, Receiving Report, Invoice, Delivery Receipts, etc.).
Monitor supplier performance: Evaluate their performance based on the quality of the product we purchased from them, delivery time, payment terms and taking appropriate action if needed.
Generate and prepare reports of purchasing activities (Inventory Control, Monthly Summary of PO per department/unit, others).
Providing technical assistance by offering support to other departments on purchasing-related matters, such as sourcing of supplier/repair service, medicine for pharmacy.
Coordinate with Accounting department regarding payments to supplier.
