The Bidding Assistant is responsible for providing administrative and operational support in the preparation, submission, and monitoring of bids, proposals, and other tender documents. The role ensures that all requirements are complete, accurate, and submitted within deadlines set by clients or government agencies.

  • Compile and prepare documentary requirements for government and private bidding, including eligibility, technical, and financial documents.
  • Assist in drafting and filling out bid forms, sworn statements (Omnibus Sworn Statement, Bid Securing Declaration), technical specifications, and other attachments.
  • Coordinate with concerned departments to gather updated company documents (SEC/DTI, Mayor's Permit, PhilGEPS Certificate, Income Tax Return, Tax Clearance, etc.).
  • Maintain and update the company's PhilGEPS account.
  • Monitor PhilGEPS postings, Request for Quotations (RFQs), Invitations to Bid (ITBs), and bid bulletins.
  • Coordinate with internal teams (Sales, Operations, Finance, Legal) for required inputs.
  • Attend pre-bid conferences and take notes on requirements, instructions, and clarifications.
  • Assist during the submission of bid documents—whether personal submission to the BAC office or through online procurement platforms.
  • Ensure all documents are properly signed, notarized, sealed, and packaged according to the bid instructions.
  • Track bid deadlines, opening schedules, and submission instructions.
  • Maintain a monitoring sheet/database of all bid opportunities, submissions, wins/losses, and pending documentary requirements.
  • Follow up with BAC secretariat or procurement officers regarding bid results when needed.
  • Assist in preparing weekly/monthly bid activity reports.
