Responsibilities:
Office Management
- Oversee daily office operations, ensuring a clean, organized, and efficient workspace.
- Manage office supplies and resources, including ordering and restocking as needed.
- Coordinate and schedule company meetings, appointments, and office events.
- Serve as the primary point of contact for vendors, clients, and visitors.
- Maintain office equipment and liaise with service providers for repairs and maintenance.
- Implement and manage office policies and procedures to streamline operations.
HR Coordination
- Assist in the recruitment process, including posting job ads, screening resumes, and scheduling interviews.
- Manage employee onboarding and orientation processes to ensure a smooth transition for new hires.
- Maintain accurate employee records, including personal information, employment history, and performance reviews.
- Administer employee benefits programs, including health insurance, leave management, and other perks.
- Handle employee inquiries regarding HR policies, procedures, and benefits.
- Support performance management processes, including goal setting, evaluations, and employee development.
- Ensure compliance with local labor laws and regulations.
- Handle daily accounting operation for the office and the Cafe including filing, accounting receivable, payable, general ledger and bank reconciliations
- Prepare purchase request order; invoice and official receipts.
- Provide clerical and administrative support to the team in an effective and timely manner
- Handles monthly payroll
- Assist in preparing statutory audit and BIR Tax Compliance.
- Handles business permit renewal, BIR and SEC compliance, Social Contributions submission.
- Prepare office budget and summary expense report.
- Undertake daily administrative tasks to ensure the functionality and coordination of the company's activities and projects
- Answering, screening and forwarding incoming phone calls
- Arranging outgoing post, couriers and pick-ups for the team
- Assist in operation roles such as supplier management, sample verification & order follow up.
- Oversees asset management, which may include inventory, tracking, purchasing and disposing.
- Manage materials library.
- Manage company's record and documentation.
- Perform other administrative support duties as required.
Requirements:
- Bachelor degree or above
- At least 3 years' relevant experience
- Detail-oriented, multi-tasking, organize and a team player
- Proficiency in Google Workspace, MS office including Word, Excel, PowerPoint
- Good command of both spoken & written of English
