About the Client:

Our client is a rapidly growing education company specializing in preparing students to pass the national nursing licensure exam. Our mission is to deliver high-quality instruction, support students globally, and scale our digital learning platform as demand increases. As the business expands, we are seeking a highly skilled, trustworthy, and proactive Executive Virtual Assistant who can take ownership of administrative operations, student communications, Kajabi management, and content support.

About the Role:

We are looking for a full-time, highly intelligent, personable, and resourceful Virtual Assistant who can operate autonomously and professionally. The ideal candidate will support daily business functions, communicate with prospective and current students, manage operational workflows, handle CRM/Kajabi tasks, and assist with video editing for our educational content.

This role blends executive assistance, customer success, operations, Kajabi course management, and video editing—ideal for someone who is tech-savvy, organized, and eager to grow with a scaling education company.

Key Responsibilities

1. Executive & Administrative Support
  • Manage inboxes, messages, and professional communications.
  • Process purchase orders, coordinate with vendors, and maintain accurate documentation.
  • Assist with scheduling, reminders, and time-sensitive business tasks.
  • Support day-to-day operations of a busy solopreneur to ensure efficiency and organization.

2. Customer & Student Communication
  • Serve as the first point of contact for prospective students; explain programs, pricing, and processes clearly and professionally.
  • Provide exceptional customer service and maintain positive, supportive relationships with learners.
  • Uphold brand values with excellent communication, clarity, and empathy.

3. Kajabi Management (LMS & CRM Operations)
  • Create, update, and maintain courses, modules, assignments, and content releases inside Kajabi.
  • Utilize Kajabi's AI and automation tools to improve CRM workflows, pipelines, landing pages, and email sequences.
  • Support the setup of the student learning environment, including libraries, checklists, and structured course pathways (week-by-week layout).
  • Troubleshoot Kajabi issues and manage backend organization.

4. Video Editing & Content Support
  • Edit educational videos with professionalism and attention to detail.
  • Add B-roll, graphics, captions, transitions, and visual enhancements to support storytelling and instructional clarity.
  • Prepare content for use on social media, including posts marketing funnels, and inside the LMS.
  • Maintain consistent branding and quality standards across all media assets.

Qualifications & Requirements

  • Fluent, clear English communication (spoken and written).
  • Strong interpersonal skills and ability to explain concepts confidently to customers.
  • Proven experience as a Virtual Assistant or similar administrative/operations role.
  • Hands-on experience with Kajabi (or similar LMS/CRM platforms such as Thinkific, Teachable, Moodle, Canvas).
  • Video editing proficiency (Final Cut Pro, Adobe Premiere, CapCut, or equivalent).
  • Ability to work full-time on a U.S. Eastern Time schedule.
  • Strong attention to detail, problem solving, and critical thinking.
  • Ability to handle sensitive information with professionalism and confidentiality.
Must be proactive, fast-learning, and capable of managing multiple responsibilities.
