Distribute and control all controlled documentation within the company.
Monitor the proper use, handling, and accessibility of documents and records.
Submit, collect, and track paperwork, including monthly document updates.
Validate documents and verify approval from authorized signatories.
Conduct evaluations and audits related to documentation practices.
Assign and enter document identification codes in accordance with company procedures.
Eliminate outdated, obsolete, or unnecessary documents and records.
Train staff members on documentation control procedures, including electronic submission and retrieval processes.
Lead the digitalization of the Document Control Department by:
Designing, implementing, and managing electronic document management systems (EDMS).
Ensuring data security, version control, and efficient retrieval of electronic documents.
Providing IT-based solutions to improve workflow, archiving, and compliance.
Perform related duties as assigned or as the situation dictates.

Qualifications

Bachelor's Degree in Information Technology, Computer Science, or related field.
With background or training in Document Control, Quality Systems, or Records Management (preferred but not required).
Knowledge in database management, document management systems, and digital archiving solutions.
Proficient in MS Office applications, cloud-based storage solutions, and relevant software for document control.
Strong understanding of data security, version control, and regulatory compliance requirements.
Excellent organizational, communication, and analytical skills.
Ability to train staff on digital systems and documentation processes.
Detail-oriented, with the ability to manage multiple tasks and deadlines effectively.
