About the Role
The QHSE Coordinator is responsible for supporting the implementation and maintenance of Quality, Health, Safety, and Environmental (QHSE) systems across project teams. This role focuses on managing documentation, tracking compliance metrics, and streamlining administrative processes to ensure company standards and regulatory requirements are consistently met. By enabling efficient remote support, the QHSE Coordinator plays a key role in ensuring QA/QC and HSE functions are executed accurately and effectively throughout the organization.
ResponsibilitiesQuality Assurance / Quality Control (QA/QC) – 80% of Time:
- Create, maintain and update the electronic Data Book and Calibration Log.
- Create and manage Weld Logs (Shop and Field).
- Develop Weld Maps and Flange Maps.
- Track and log Welder Testing requests.
- Create, maintain and update Welder Identification Card.
- Maintain and update Welding Dashboard.
- Generate Monthly QA Reports (e.g., Rejection Rates).
- Review NDE invoices and timesheets for accuracy and completeness.
- Process requisitions for welder testing, calibration services, and NDE subcontractors.
- Take meeting minutes and follow up on action items.
- Order QA/QC-related supplies and support general admin responsibilities.
Health, Safety, and Environmental (HSE) – 20% of Time:
- Organize and rename scanned safety documents for proper digital storage.
- Log "Good Catch" entries and incident reports from Microsoft Forms into the master tracking system.
- Monitor vehicle registration expirations and notify drivers accordingly.
- Track vehicle maintenance needs and notify drivers (e.g., oil changes).
- Pull and distribute monthly training expiration reports.
- Upload and record training and evaluations.
- Support with employee training and registration
- Input HSE metrics into the Traction scorecard and generate weekly one-pagers.
- Compile routine reports by gathering and analyzing safety performance data.
- Perform other duties as assigned by the HSE Manager as needed.
Competencies and Qualifications
- 2+ years experience in a QHSE administrative or coordinator role (QA/QC and or HSE).
- Strong attention to detail and ability to organize large volumes of documentation.
- Proficient in Microsoft Excel, including use of VLOOKUP or INDEX-MATCH, pivot tables, and conventional formatting techniques (filters, conditional formatting, data validation). PowerBI knowledge noted as a plus
- Familiarity with document control systems and organization.
- Effective written and verbal communication skills across teams and departments.
- Familiarity with HSE compliance frameworks and terminology.
- Familiarity with QC/Welding/NDE frameworks and terminology.
- Ability to communicate effectively across teams and departments.
- Self-motivated and able to manage tasks independently in a remote environment.
