1. Procurement and Sourcing Management
- Plan, direct, and coordinate procurement activities for all clinics and departments.
- Identify reliable suppliers and vendors, ensuring quality, price competitiveness, and timely delivery.
- Develop and maintain strategic supplier relationships and evaluate supplier performance regularly.
- Review and approve purchase requisitions and purchase orders.
- Negotiate contracts, terms, and pricing agreements to achieve cost efficiency.
2. Inventory and Materials Coordination
- Coordinate with the Materials Management and Warehouse teams to maintain optimal inventory levels.
- Monitor stock movement and consumption patterns to prevent overstocking or shortages.
- Implement effective tracking systems for purchased items and ensure accurate documentation.
3. Budget and Cost Control
- Assist the Finance Department in preparing and monitoring the procurement budget.
- Analyze purchasing data and market trends to identify cost-saving opportunities.
- Ensure all procurement activities align with financial targets and operational requirements.
4. Policy, Process, and Compliance
- Develop, implement, and enforce procurement policies, procedures, and internal controls.
- Ensure compliance with company standards, government regulations, and ethical procurement practices.
- Maintain accurate and organized procurement documentation for audit and reporting purposes.
5. Coordination and Communication
- Collaborate with clinic managers and department heads to understand material requirements and specifications.
- Ensure clear communication between suppliers and internal stakeholders regarding delivery schedules and product quality.
- Address and resolve supplier issues, delays, or disputes promptly.
6. Reporting and Documentation
- Prepare regular procurement reports, including cost analysis, supplier performance, and purchase summaries.
- Maintain a centralized database of suppliers, price lists, and contracts.
- Provide timely updates to management on procurement status and cost efficiency performance.
