Key Responsibilities:

1. Procurement and Sourcing Management

  • Plan, direct, and coordinate procurement activities for all clinics and departments.
  • Identify reliable suppliers and vendors, ensuring quality, price competitiveness, and timely delivery.
  • Develop and maintain strategic supplier relationships and evaluate supplier performance regularly.
  • Review and approve purchase requisitions and purchase orders.
  • Negotiate contracts, terms, and pricing agreements to achieve cost efficiency.

2. Inventory and Materials Coordination

  • Coordinate with the Materials Management and Warehouse teams to maintain optimal inventory levels.
  • Monitor stock movement and consumption patterns to prevent overstocking or shortages.
  • Implement effective tracking systems for purchased items and ensure accurate documentation.

3. Budget and Cost Control

  • Assist the Finance Department in preparing and monitoring the procurement budget.
  • Analyze purchasing data and market trends to identify cost-saving opportunities.
  • Ensure all procurement activities align with financial targets and operational requirements.

4. Policy, Process, and Compliance

  • Develop, implement, and enforce procurement policies, procedures, and internal controls.
  • Ensure compliance with company standards, government regulations, and ethical procurement practices.
  • Maintain accurate and organized procurement documentation for audit and reporting purposes.

5. Coordination and Communication

  • Collaborate with clinic managers and department heads to understand material requirements and specifications.
  • Ensure clear communication between suppliers and internal stakeholders regarding delivery schedules and product quality.
  • Address and resolve supplier issues, delays, or disputes promptly.

6. Reporting and Documentation

  • Prepare regular procurement reports, including cost analysis, supplier performance, and purchase summaries.
  • Maintain a centralized database of suppliers, price lists, and contracts.
  • Provide timely updates to management on procurement status and cost efficiency performance.
