The Purchasing Staff is responsible for supporting the procurement operations of the food manufacturing company by ensuring timely and cost-effective acquisition of raw materials, packaging, equipment, and other supplies. This role involves coordinating with suppliers, processing purchase orders, maintaining records, and assisting in inventory management to support production and business operations.

Key Responsibilities:

1. Procurement Process & Purchase Order Management

  • Assist in sourcing and purchasing raw materials, packaging, equipment, and office supplies.
  • Prepare and process purchase orders (POs) based on approved requisitions.
  • Coordinate with suppliers to ensure timely delivery of materials and resolve any order discrepancies.
  • Maintain and update purchase records, supplier databases, and pricing lists.

2. Supplier Coordination & Negotiation Support

  • Communicate with vendors to request quotations, compare pricing, and evaluate supplier offers.
  • Assist in negotiating purchase terms, delivery schedules, and payment agreements with suppliers.
  • Ensure that all purchased items meet quality standards and company requirements.
  • Build and maintain good relationships with existing and potential suppliers.

3. Inventory & Logistics Coordination

Monitor stock levels and coordinate with warehouse and production teams to prevent shortages or overstocking.

Assist in tracking shipments and ensuring on-time delivery of orders.

Coordinate with logistics and warehouse teams for proper receiving and storage of purchased goods.

4. Compliance & Documentation

  • Ensure all purchasing transactions comply with company policies and government regulations.
  • Maintain and organize procurement documents such as invoices, contracts, and delivery receipts.
  • Assist in supplier accreditation and evaluation processes.

5. Cost & Budget Monitoring

  • Support cost-saving initiatives by identifying opportunities for better pricing and supplier terms.
  • Assist in monitoring procurement expenses to stay within budget.
  • Provide reports and analysis on purchasing activities, price trends, and supplier performance.

Qualifications & Skills:

· Education:

  • Bachelor's degree in Business Administration, Supply Chain Management, Industrial Engineering, or a related field.

· Experience:

  • At least 1-3 years of experience in purchasing, procurement, or supply chain roles, preferably in the food manufacturing or FMCG industry.

· Skills:

  • Basic knowledge of procurement processes, inventory management, and supplier coordination.
  • Familiarity with food safety standards and regulatory compliance is an advantage.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong organizational and time-management skills.
  • Good negotiation, communication, and problem-solving abilities.
  • Ability to work under pressure in a fast-paced manufacturing environment.
