Location: Remote - with 3-4 times in-person workdays a month

About the Role

We are looking for a proactive and detail-oriented Business Operations Associate to provide vital support across both our e-commerce platforms and Wavee Professionals operations. This role will be a mix of administrative work, operations coordination, and e-commerce support — ideal for someone who's adaptable, resourceful, and eager to learn.

Experience in e-commerce is a plus, but not required. Strong organizational skills, problem-solving abilities, and a passion for contributing to the team's success are key.

Key Responsibilities

1. E-Commerce Support

  • Assist in store management and platform upkeep (Lazada, Shopee, etc.)
  • Help manage in-platform promotions and campaign setups
  • Coordinate with the fulfillment/warehouse team for timely orders
  • Support customer service tasks (respond to basic inquiries, track resolutions)
  • Assist in affiliate program coordination and tracking

2. Administrative & Operations Support

  • Maintain and update trackers, reports, and databases (Google Sheets/Excel)
  • Process logistics and deliveries (NinjaVan, Lalamove, J&T) — training provided
  • Support creation of presentations, reports, and other team documents
  • Assist in inventory tracking and replenishment coordination
  • Update and organize internal systems (ClickUp, Slack, etc.)

3. Wavee Professionals Program Support

  • Assist in onboarding clinics (adding details to ClickUp pipelines, preparing kits)
  • Help schedule and coordinate product orientations and trainings
  • Follow up on clinic sales and inventory trackers as needed
  • Coordinate replenishments and remittance monitoring

4. Data & Reporting

  • Encode and analyze basic sales and operational data
  • Help prepare weekly and monthly reports for management review

Qualifications

  • Proficient in Google Workspace (Sheets, Docs, Slides) or Microsoft Office
  • Highly organized and able to manage multiple tasks at once
  • Detail-oriented with good problem-solving skills
  • Strong communication skills for internal coordination (not heavily client-facing)
  • Willing to learn and take initiative in improving workflows
  • Passionate about being part of a growing team and making a meaningful contribution
  • Preferred (But Not Required)
  • Experience in e-commerce operations or admin work
  • Familiarity with logistics booking platforms and/or CRM tools
  • Basic data analysis skills
