Job Title: Event Project Manager
Job Summary
The Event Project Manager is responsible for planning, executing, and delivering events from concept to completion. This role ensures that all event componentstimeline, budget, vendors, technology, and stakeholdersare aligned and delivered on schedule, within scope, and to quality standards.

Key Responsibilities
Planning & Coordination

  • Lead end-to-end event planning, from initial concept to post-event wrap-up
  • Develop detailed project plans, timelines, and work breakdown structures
  • Define event scope, objectives, and deliverables with stakeholders

Team & Stakeholder Management

  • Coordinate cross-functional teams (registration, creatives, tech, logistics, suppliers)
  • Act as the main point of contact for clients, partners, and internal teams
  • Conduct regular meetings, progress updates, and status reporting

Budget & Resource Management

  • Prepare and manage event budgets, cost tracking, and approvals
  • Allocate resources efficiently to meet project goals
  • Identify risks and implement mitigation strategies

Vendor & Supplier Oversight

  • Source, negotiate, and manage vendors, suppliers, and contractors
  • Ensure timely delivery of materials, services, and technical requirements
  • Monitor vendor performance and compliance with agreements

Event Execution

  • Oversee on-site or virtual event operations
  • Ensure smooth coordination during event days
  • Resolve issues quickly and calmly under pressure

Post-Event Reporting

  • Conduct post-event evaluations and documentation
  • Prepare reports on outcomes, learnings, and recommendations
  • Ensure proper handover of deliverables and closure of contracts
