Key Responsibilities
A. Vehicle Inventory Management

1. Vehicle Forecasting & Ordering

  • Oversee timely preparation and submission of Daily Sales Reports (DSRs).
  • Monitor monthly preparation and submission of vehicle order requests.
  • Evaluate and improve Sales Admin Scorecards per dealer.
  • Ensure high acceptability and timeliness rates for all forecasting and ordering outputs.

2. Vehicle Inventory Oversight

  • Conduct regular physical vehicle inventory checks.
  • Monitor 100% of sales vehicle movements.
  • Ensure full compliance with procedural and documentation requirements.
  • Track aging units, including units exceeding 180 days.
  • Monitor average days in inventory, acceptability rate, and timeliness of updates.

B. Sales Administration Management
  • Monitor and verify dealer incentive crediting.
  • Oversee LTO registration monitoring processes.
  • Ensure procedural/documentation compliance across all Sales Admin tasks.
  • Maintain high acceptability and timeliness ratings for all sales admin deliverables.

C. Reportorial Compliance
  • Prepare, consolidate, review, and submit reports in a timely and accurate manner.
  • Endorse reports monthly and ensure completeness and correctness.
  • Maintain excellent acceptability and timeliness rates.

D. Administration & Supervisory Functions

1. Performance Management System (PMS) Administration

  • Monitor unit compliance, performance acceptability, and timeliness.
  • Ensure personnel achieve at least the required monthly performance ratings.
  • Improve overall average performance of the unit.

2. Meeting Management

  • Plan and conduct regular team and inter-department meetings.
  • Ensure documentation and implementation of meeting agreements.
  • Maintain compliance with Corporate Planning standards and timeliness requirements.
Qualifications
  • Bachelor's degree in Business Administration, Management, Marketing, or related field.
  • At least 3–5 years experience in Sales Administration, Inventory Management, or related roles.
  • Supervisory experience preferred.
  • Strong analytical, organizational, and communication skills.
  • Proficient in MS Office applications (Excel, PowerPoint, Word).
  • Experience in automotive or dealership operations is an advantage.
