The Accounts Payables Specialist is responsible for managing and processing all vendor invoices, expense reports, and payments accurately and in a timely manner. This role ensures compliance with company policies and accounting standards, while maintaining good relationships with suppliers and internal stakeholders.

Key Responsibilities:

  • Receive, review, and process vendor invoices, employee reimbursements, and other payables.
  • Verify invoice accuracy, match purchase orders and receipts, and ensure proper approvals.
  • Prepare and process weekly/monthly payment runs (checks, wire transfers, online payments).
  • Reconcile vendor statements and resolve discrepancies promptly.
  • Maintain accurate and organized accounts payable records and documentation.
  • Assist with month-end closing by preparing accruals, reconciliations, and reports.
  • Ensure compliance with company financial policies, internal controls, and audit requirements.
  • Communicate with vendors and internal departments to address invoice or payment issues.
  • Support accounting team with other related tasks as needed.
  • Source, evaluate, and negotiate with suppliers to secure the best prices, quality, and delivery terms
  • Prepare and process purchase orders, requisitions, and supplier contracts.
  • Maintain and update supplier records, price lists, and product specifications
  • Evaluate supplier performance in terms of quality, price, and reliability
  • Assist in cost-saving initiatives and budget monitoring for purchasing activities

Skills and Qualifications:

  • Bachelor's degree in Accounting, Finance, or related field (preferred).
  • At least 1–3 years of experience in accounts payable or similar accounting role.
  • Strong knowledge of accounting principles and accounts payable processes.
  • Proficiency in accounting software (e.g., SAP, Oracle, QuickBooks, or equivalent).
  • Advanced skills in MS Excel and other Microsoft Office applications.
  • High attention to detail, accuracy, and organizational skills.
  • Strong communication and problem-solving abilities.
  • Ability to work independently and meet deadlines in a fast-paced environment.
