I. POSITION SUMMARY

The Office Clerk is responsible for providing administrative and clerical support to ensure efficient office operations in the Dinalupihan, Bataan site. The role includes managing documentation, handling communications, and supporting daily office tasks to maintain smooth workflow across departments.


II. DUTIES AND RESPONSIBILITIES
  1. Clerical and Administrative Support

  2. Prepare, organize, and file documents, reports, and office records.

  3. Maintain employee files and site-related documents.
  4. Handle photocopying, scanning, printing, and encoding tasks.
  5. Communication Handling

  6. Answer calls, emails, and inquiries in a professional manner.

  7. Coordinate information between Dinalupihan operations and other branches.
  8. Prepare memos, notices, and basic correspondence.
  9. Data Encoding and Documentation

  10. Encode data related to attendance, operational reports, inventory, and other required documents.

  11. Ensure accuracy, confidentiality, and proper tracking of data.
  12. Office Coordination

  13. Assist in scheduling meetings, appointments, and coordination within the Dinalupihan site.

  14. Support HR and Admin in the preparation and submission of documents.
  15. Monitor and request replenishment of office supplies.
  16. Financial and Record Support

  17. Assist in basic recordkeeping for receipts, expenses, and reimbursements.

  18. Coordinate with Finance for billing and document submission.
  19. Operational Support

  20. Coordinate with warehouse personnel, drivers, and field staff assigned in Dinalupihan, Bataan.

  21. Support management with site-specific tasks and special projects.

III. QUALIFICATIONS
  • High school graduate or college level; related course preferred.
  • Experience in clerical or administrative roles is an advantage.
  • Basic proficiency in MS Office (Word, Excel).
  • Strong organizational and communication skills.
  • Detail-oriented, reliable, and able to work independently.
  • Trustworthy and able to handle confidential information.

IV. WORKING CONDITIONS
  • Based in Dinalupihan, Bataan.
  • Full-time work schedule as set by management.
