Finance Associate (Project-based)

Work Setup: Work-from-Home

Work Schedule: Mondays to Fridays

Reports to: Chief of Staff

Department: Business Development, Admin, and Compliance Team

Employment Status: Contractual (1-Year)

Job Summary

The Finance Associate is responsible for the accurate and timely processing of financial transactions, specifically focusing on Accounts Payable, Treasury (Disbursements), and Tax Compliance. This role ensures that the company remains compliant with government regulations (BIR, LGU) while maintaining strict monitoring of ad spending and operational budgets.

Key Responsibilities & Duties:

1. Accounts Payable & Disbursements (40%)

  • Process end-to-end payments for suppliers and employees (reimbursements/payroll) in accordance with company policy.
  • Verify, classify, and record accounts payable data to ensure accurate financial records.
  • Manage the "Disburse Payment" workflow: preparing checks or setting up online transfers for approval.
  • Maintain vendor files and correspond with vendors regarding payment schedules and outstanding invoices.

2. Tax Compliance & Statutory Reporting (30%)

  • BIR Compliance: Coordinate with external vendor in the preparation and filing of monthly, quarterly, and annual tax returns (e.g., BIR Form 0619-E, 1601-C, 1702, and VAT/Percentage tax returns) using eBIRForms or EFPS.
  • Certificates of Withholding: Generate and issue BIR Form 2307 to suppliers and ensure collection of the same from clients.
  • Coordinate with external vendor to ensure timely remittance of government contributions (SSS, PhilHealth, Pag-IBIG) to avoid penalties.

3. Financial Reporting & Budget Monitoring (20%)

  • Ad Budget Reporting: Monitor daily/weekly advertising spend against the allocated budget. Prepare variance analysis reports to highlight overspending or underspending.
  • Assist in the preparation of month-end financial reports and bank reconciliation statements.

4. General Compliance & Administration (10%)

  • Ensure all financial documents are filed in an organized manner for audit trails (adhering to the Data Privacy Act - RA 10173 regarding sensitive employee data).
  • Assist with business permit renewals and other LGU regulatory requirements.

Minimum Qualifications:

  • Bachelor's Degree in Accountancy, Finance, or Banking.
  • At least 1-2 years of experience in General Accounting, AP, or Tax Compliance in the Philippines.
  • Knowledge of Philippine Tax Laws (Tax Code) and BIR revenue regulations.
  • Proficiency in MS Excel (VLOOKUP, Pivot Tables) and Accounting Software (e.g., Xero, QuickBooks, SAP).
  • Soft Skills: High integrity, attention to detail, and ability to handle confidential information
