Position Summary
The Impex supervisor is responsible for managing the import and export processes, including documentation, scheduling, billing, and communication with customers and forwarders. This role requires meticulous attention to detail, coordination with multiple departments, and adherence to regulatory compliance standards. The Impex Supervisor ensures timely and accurate transfer and processing of export documents, supports monthly reporting, and handles queries, quotations, and requests from other departments.
Scope and Responsibilities
Import Export Management
Arrange and coordinate with customers and forwarders on shipment schedules, ensuring timely and accurate fulfillment of import and export schedules.
Prepare and process required importation and exportation documents (e.g., invoices, packing lists, IDs) and manage the transfer of Finished Goods (FG) documentation for import/export transactions.
Ensure compliance with PEZA, BOC, and other regulatory bodies by processing funding, notary of sworn affidavits, and renewal of necessary documents (e.g., LOA, survey bonds).
Prepare and verify billing from forwarders, negotiate transportation costs, and handle quotations to ensure cost-effective shipping solutions.
Generate weekly and monthly reports (FEC, FTL) on export/sales performance and shipment status for department review and compliance.
Handle finished goods storing and coordination to planning and production to meet the required sales.
Administrative Support
Support and guide Impex staff and operators.
Oversee the documentation and filing of import/export records, maintain an organized filing system for reference and audits.
Assist other departments with requests related to RTV samples and other export/import needs; attend interdepartmental meetings to discuss shipment schedules and logistics requirements.
Manage PEZA and BOC funding requirements, handle the notary process for affidavits, and coordinate with relevant parties for timely processing.
Conduct regular checks to monitor export and sales documentation, ensuring records are up-to-date and accurately filed for internal review and audits.
Other Related Tasks
Perform additional duties as assigned to support the PCP team and ensure efficient operations.
Assist with special projects or initiatives related to PCP team as needed.
Qualifications
Bachelor's degree in business administration, Supply Chain Management, or any related field.
1-4 years of relevant experience in logistics, import/export, or administrative roles, with a focus on managing shipping operations and documentation.
Background in a manufacturing environment is preferred, providing insight into production schedules and inventory management related to import/export activities.
Knowledge of international shipping processes, including customs regulations, documentation requirements, and best practices for shipping logistics to ensure compliance with regulatory bodies.
Experience in regulatory coordination, specifically with PEZA (Philippine Economic Zone Authority) and BOC (Bureau of Customs), demonstrating the ability to navigate compliance requirements effectively.
Strong organizational and multitasking skills, with the ability to manage documentation efficiently, maintain accurate records, and support interdepartmental coordination for various shipping requests and logistics needs.
Job Types: Full-time, Permanent
Pay: Php30, Php35,000.00 per month
